AboutThe Role
The Facilities Dispatcher provides administrative and logistical support to the Facilities Operations and Building Engineering teams. They act as the central hub for maintenance: receiving requests (phone, email, ticketing system), prioritizing them, and dispatching technicians. The Facilities Dispatcher manages the scheduling, documentation, communication, and coordination of the Facilities and Building Engineering Technicians that support the important work of the campus. The ideal candidate is highly organized, detail‑oriented, proactive, and comfortable managing priorities in a mission‑driven environment.
This work is fast‑paced and requires calm and creativity in the face of shifting and emergent priorities. This role reports to the Senior Director of Facilities and Supply Chain Operations.
- Take service requests via phone, email, or online portals; track all work orders and service requests through the ticketing system, gather information and evaluate urgency
- Schedule and coordinate projects throughout the Hospital, Shelter, Community Medicine and Administrative Operations, including monitoring project timelines, communicating updates to stakeholders, and dispatching the right technician to carry out service and project requests given the info provided
- Close out work orders with detailed information, verify satisfaction, and assist in gathering and compiling data for reports, dashboards, and performance metrics
- Maintain technician staff schedules to ensure efficient work and timely project completion
- Maintain department records and documentation, including keeping both an organized physical file structure and electronic filing systems and shared drives
- Act as liaison, providing status updates to requestors, technicians, and facility managers; handle emergency escalations
- Support ordering and inventory of tools, supplies, and other departmental materials, and assist with vendor coordination, scheduling, purchase requests, and invoice processing
- Create SOP documents to assist with repeat tasks across the department, and assist with planning and logistics for technician trainings

Physical Requirements and Work Environment- Work performed primarily in an office setting with frequent computer use
- Occasional walking between buildings and light lifting of up to 50 pounds
- Exposure to animals and animal care environments
- Consistently exposed to animals and animal allergens under conditions with limited alterations available
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- 2+ years of administrative experience supporting mid‑level managers, preferably in a complex or multi‑department organization
- Experience managing schedules and preparing documentation

The starting salary for this position depends on the depth and breadth of experience. The expected range is $27.00 - 30.00 / hour. Regular, full‑time positions are eligible for a benefits package including:
