Our ideal candidate would be located in the Bay Area and would work out of our San Francisco Office.
The Opportunity:
- Provide administrative and strategic support for two VPs
- Proactively identify gaps and iterate processes to continuously improve team operations
- Manage and maintain sensitive and complex calendars of in-person, video, and external meetings across multiple global time zones to optimize executive focus; while working closely with senior leaders and the other EAs within the company
- Manage and execute the team meetings: logistics, prepare presentations for All Hands, and proactively prepare meeting agendas and follow up with the relevant action items
- Coordinate logistics for the organization on-sites/off-sites, ad hoc events, and leadership meetings within budget. Ideally, attend in person and oversee logistics when relevant
- Coordinate flawless extensive international and domestic travel
- Provide general administrative support, such as email, international currency expense reporting, team drive, and contact database management
- Partner internally and externally on arranging a multitude of meetings with key stakeholders. Ensure stakeholders are advised of deadlines
- Capture and distribute notes and action items from team meetings. Follow up on deliverables and OKRs as needed
- Create efficient workflows and processes to help maximize your leaders' time
- Potential additional support of calendar, expense, and travel management for other senior team members
- Experience supporting leaders, ideally at high-growth technology companies
- Familiarity with standard corporate technology such as Google Workspace, Slack, Navan, etc., and the ability to learn new applications quickly, as needed
- Experience successfully navigating the challenges of working within a multi-timezone, international environment
- Ability to anticipate needs, and complete a high volume of tasks while working independently with discretion
- Experience with meeting planning and execution
- Strong communication skills and the ability to communicate at all levels of the organization with respect, clarity, and humility
- Excellent interpersonal skills; experience working cross-functionally, building trust with operational partners, and optimizing communication channels and workflows
