About the Role
The Executive Assistant to the CEO is a trusted operator who provides white glove administrative and operational support to ensure the efficiency, alignment and success of executive and company-wide initiatives. This role requires exceptional organizational judgment, strategic foresight and the ability to anticipate needs across a complex and fast-moving environment. You’ll support the CEO as a whole person, inclusive of executive life logistics that enable the CEO to focus on high-impact work by minimizing administrative friction across both personal and professional spheres.
Working in close partnership with the Chief of Staff, the EA runs the rhythms of the CEO’s office: designing the week and the quarter for energy and impact, coordinating across leadership functions, driving alignment and providing proactive support that enhances productivity and connection at the most senior levels. The scope of the role includes company‑level event coordination, Board and leadership meeting alignment and cross‑functional project support.
You'll Accomplish
- Enhanced Executive Productivity: Streamline the CEO’s calendar, travel and executive life logistics to optimize time allocation for strategic, high‑impact work.
- Executive Office Alignment: Coordinate scheduling and logistics for key executive forums, including the Board of Directors, Senior Leadership Team (SLT) and Executive Leadership Team (ELT), ensuring timely communication, readiness and alignment across all touchpoints.
- Event & Project Management: Lead logistical coordination for SLT/ELT onsites, company celebrations and executive events, ensuring flawless execution and alignment with organizational culture and leadership objectives.
- Effective Communication & Coordination: Serve as a liaison between the CEO’s office, leadership teams and the organization to maintain clarity, alignment and trust.
- Travel & Expense Management: Manage complex travel arrangements and expense reporting for the CEO and select senior leaders, including occasional coordination of personal logistics that intersect with business operations.
- Operational Excellence: Develop and implement procedures that streamline executive workflows, improving prioritization, communication and responsiveness across both professional and administrative life domains.
- Confidentiality & Professionalism: Handle sensitive information and communications with discretion, professionalism and sound judgment at all times.
- CEO day to day support
- Architects CEO's calendar
- Plans and coordinates CEO professional travel logistics and manages expenses
- Makes CEO successful day‑to‑day from a meeting logistics and support point of view
- Support limited executive life logistics such as assisting with the CEO's dog or household scheduling, when they intersect with business priorities.
- Company‑Level Administration
- Organize and secure dates for Board of Directors (BOD) and Committee Meetings
- SLT in San Francisco gatherings
- Holiday and Summer Parties (aligned with SLT in SF dates)
- Ad hoc BOD/SLT/approval meetings as needed
- Partner cross‑functionally to manage executive communications, pre‑reads, and materials.
- Project Work
- Coordinate scheduling and logistics for key executive forums, including the Board of Directors, SLT/ELT, ensuring timely communication, readiness and alignment across all touchpoints
- Manage key milestones such as executive birthdays and leadership departures.
- Collaborate on planning and execution of company‑wide events, ensuring alignment with the People team's engagement strategy.
- Develop and implement procedures that streamline executive workflows, improving prioritization, communication and responsiveness across both professional and administrative life domains.
- Strategic Partnership
- Liaise between the CEO's office, leadership teams and the organization to ensure smooth information flow, aligned priorities and cross‑functional coordination.
- Anticipate needs, risks, and communication gaps, proactively addressing them to keep the executive's focus on strategic priorities.
- Serve as a trusted extension of the CEO's office, representing the organization's tone, standards and values.
