Overview
We are seeking a dependable and detail-oriented Part-Time Administrative Assistant to support our Legal and Compliance team. This onsite role is ideal for someone who thrives in a structured environment, is highly organized, and can maintain confidentiality while handling sensitive information. The assistant will play a key role in ensuring administrative efficiency and supporting legal operations.
- Location: San Jose, CA
- Duration: 12 months+ contract with high possibility of extension
- Type: Part-Time | Administrative Support
- Work Environment: Primarily onsite in San Jose, CA (Hybrid not applicable)
- Work schedule: 10 hours/week | Monday, Tuesday & Thursday | Onsite Only
- Open, sort, and scan incoming legal and operational mail (approx. 4–5 hours/week).
- Digitally distribute mail to appropriate team members or systems.
- Maintain secure handling and storage of confidential materials.
- Review incoming legal emails and upload digital files into the legal order management tool.
- Identify key information (e.g., serving party name, case number, type of legal order) and enter into the tracking system.
- Enter and update case information in the litigation management system.
- Assist with organizing and maintaining accurate legal records.
- Generate and distribute basic reports as needed.
- Prepare, edit, and organize legal and business documents.
- Support ad hoc legal requests as assigned.
- Previous experience as an administrative, legal, or executive assistant preferred.
- Strong attention to detail and ability to handle confidential information with discretion.
- Proficiency with scanners, digital filing systems, and Google Workspace.
- Reliable, professional, and self-motivated with excellent organizational skills.
- Strong written and verbal communication abilities.
- Ability to learn or prior knowledge of case and legal order management tools (e.g., Safari, JIRA).
