The Food Pantry & Clothes Closet Operations & Volunteer Manager is a dynamic, full‑time position responsible for daily distribution and volunteer engagement at Sacred Heart Community Service in San José, CA. This high‑volume, warehouse‑based role supports one of the largest food‑distribution programs in the Bay Area, serving over 25,000 community members annually.

JOB ANNOUNCEMENT: We are looking for a hands‑on, people‑centered leader who thrives in fast‑paced service environments, believes in strong operations, and enjoys leading staff and volunteers.

RESPONSIBILITIES AND DUTIES:

  • Provides structure, support, supervision, training, evaluation, and professional development for food pantry, clothes closet, and donation station staff.
  • Accountable for developing, tracking, reporting, and analyzing program goals, outcomes, and team performance metrics aligned with SHCS Strategic Plan.
  • Ensures compassionate, fair, and equitable service to members, through staff training, coaching, and feedback.
  • Leads recruitment and hiring of program staff and interns.
  • Supports crisis intervention using non‑violent skills and emergency response protocols.
  • Leads supply‑chain processes including ordering, receiving, tracking, processing, and storage of food and clothing donations.
  • Provides leadership training for members through program involvement.
  • Supports recruitment, development, and training of volunteers and members of the program advisory committee.
  • Provides direct support for program openings, closings, and weekend coverage.
  • Prevails in developing and improving policies, procedures, systems, and training.
  • Ensures a safe working environment through training, updates, and equipment procurement.
  • Maintains volunteer management continuity, scheduling, tracking hours, and database upkeep.
  • Organizes and facilitates programming team meetings and retreats.
  • Collaborates with internal teams and external partners for program operations, volunteer engagement, and service delivery.
  • Works closely with Community Engagement to design high‑quality volunteer experiences.
  • Designs and leads engagement projects for specific groups and partner organizations.
  • Provides operational leadership for organization‑wide programs, events, training, and outreach.
  • Represents SHCS in the community through outreach to schools, faith communities, businesses, and groups.
  • Serves on the Emergency Response Team and acts as on‑site manager as needed.
  • Participates in the Manager Round Table.
  • Performs other duties as assigned.
  • Analyzes and reports program objectives, outputs, and outcomes for contract compliance.
  • Develops and maintains monthly work plans.
  • Assists in grant administration, compliance, and reporting.
  • Maintains confidentiality per SHCS policies.
  • Develops, tracks, and manages program budgets.

REQUIRED QUALIFICATIONS AND

EXPERIENCE:

  • Strong commitment to SHCS’s vision of a community where every child and adult is free from poverty.
  • Bachelor’s degree or 5+ years of experience in social services, public health, or related field.
  • 2–3 years of program management or supervisory experience.
  • Bilingual in English and Spanish.
  • Ability to work effectively with diverse people, communities, and cultures.
  • Knowledge of culturally competent and anti‑racist practices.
  • Experience in project management, planning, training, and tracking systems.
  • Volunteer management experience.
  • Strong written, verbal, and presentation skills.
  • Excellent multitasking, rapid response, and organizational skills.
  • Flexible schedule, including some weekends and evenings.
  • Willingness to step in to support program operations as needed.
  • Physical ability to lift, push, or pull up to 50 lbs., stand and walk for prolonged periods, and use a computer 2–4 hours per day.
  • Must pass a DMV and criminal background check.

PREFERRED QUALIFICATIONS AND

EXPERIENCE:

  • Proficiency with databases such as Salesforce, Microsoft Office, and Google Workspace.
  • Certified forklift operator and warehouse equipment user.
  • OSHA safety training certification.
