Job OverviewThe Catering Logistics & Planning Coordinator is responsible for the systematic planning, assignment, and real‑time coordination of all catering event logistics. The role ensures efficient use of drivers and operational resources to meet strict event timelines and service standards. As a critical communication hub between the Sales/Events and Operations teams, the Coordinator maintains event documentation accuracy and resolves scheduling conflicts to support seamless catering execution.
CoreResponsibilities
- Assign event deliveries and pickups to appropriate driver resources based on event type, size, resource needs, and required delivery/pickup times.
- Adjust and confirm event departure and kitchen preparation times within the Cater Trax system.
- Create and maintain a master sheet derived from Cater Trax data to outline all event and delivery logistics.
- Determine and communicate required shift needs for the following week to the appropriate manager.
- Input the determined staff shifts into the auto scheduling platform and run the script to generate the optimized weekly staff schedule.
- Monitor the BEO Updates tab (or equivalent) for all incoming changes, apply revisions in Cater Trax, and update the master sheet.
- Actively monitor designated communication channels for real‑time updates and changes from Sales and Events.
- Collaborate with Sales and Events and serve as the primary liaison with Operations to ensure all crucial updates are received timely and accurately.
- Minimum 2 years experience in fast‑paced logistics, dispatch, or high‑volume catering/food service.
- Experience with scheduling software or event management systems (Cater Trax preferred).
- Excellent analytical and organizational skills with acute attention to detail.
- Exceptional writtenકરણ and verbal communication skills.
- Proactive problem‑solving mindset under pressure.
- Working knowledge of Microsoft Excel/Google Sheets.
- Ability to work independently and collaboratively within a team.
