Overview

This position provides administrative support to team operations and projects and is essential for handling the detailed, day-to-day tasks that keep a project moving forward. They act as a central point of contact for project-related information, ensuring that all participants are kept updated on progress, challenges, and key deliverables. Their administrative and organizational support helps to maintain the project's structure, efficiency, and adherence to the defined scope, budget, and timeline.

Responsibilities
  • Leads development of processes and procedures to improve efficiencies.
  • Interacts with HR, IT, Operations, Accounting, and Safety to develop new platforms and operational improvements.
  • Tracks and drives local performance metrics and project management using software, particularly Quickbase, and other tools that may be developed.
  • Organizes, updates and maintains requirement documentation per current format standards including post implementation clean-up work.
  • Accountable for project reporting to ensure all information is collected and organized in a consistent manner while providing an accurate and up-to-date view of the project status.
  • Accountable for following up on action items, tracking issues logs, documenting meeting minutes, etc. Organizes tasks efficiently to meet deliverables on time; notifies management when schedules cannot be met; recommends and implements alternatives/options to minimize delay.
  • Establishes cooperative, productive working relationships with functional business areas resources and IT in order to resolve issues and keep the project moving.
  • Conducts information searches, compiles data, and monitors and reports results as needed.
  • Identifies and resolves issues that jeopardize project success.
  • Assists in the gathering of and completion of project close-out packages.
  • Tracks and reports time for market team as well as for payroll purposes. Utilizes Sage SSO and SM systems as well as other tools that may be developed.
Requirements

Education and Experience

  • Typically requires a Bachelor’s or Associate Degree in GIS, Geography or related field (preferred), or one to two years of related work experience (required).
Physical Requirements
  • Ability to stand, walk, sit – 6-8 hours daily
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times.
Key Competencies, Skills, Abilities
  • Ability to adapt to varying project requirements and timelines.
  • Excellent oral and written communication skills, with ability to convey technical information to nontechnical stakeholders
  • Basic understanding of fiber build designs and Make Ready/construction process
  • Strong communication skills
  • Strong understanding of jurisdictional permitting requirements
  • Experience creating permit applications for DOT, Railroads, USACE, City, County, and pole owner applications
  • Proficiency in Excel, Word, Adobe, and Google Earth
  • Experience using ArcGIS, Arc Pro, IQGeo, O-Calc and Katapult to create maps and put together permits and pole applications
  • Database management
  • Permit quality control
  • Bonus: experience in programming languages (Python, Arcade, C++, etc.)
  • Ability to build collaborative relationships teams
  • Detail oriented with strong organizational and project management skills
  • Ability to meet deadlines and adapt to a fast-paced engineering environment
