Job Description

The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.

Job Duties
  • The Administrative Assistant II, under supervision of a director, provides administrative and clerical support to the advising center, supervises student employees, and manages front desk operations
  • Oversee front desk operations and foster a professional/student-centered environment in the reception area
  • Open and close the office at set times
  • Greet, screen, and route visitors in a courteous manner
  • Assist students, parents, faculty, staff, and visitors by answering questions and/or referring to appropriate campus resource
  • Answer multi-line telephone, screen and transfer calls, take messages, and refer to other offices as appropriate
  • Maintain multi-user electronic calendar and schedule appointments for advising center staff
  • Recruit, screen, and hire staff of student employees
  • Provide initial and ongoing training to staff of student employees
  • Create student employee schedules; track and approve pay for student workers
  • Monitor advising center inbox and respond/forward emails appropriately
  • Order office supplies, track expenditures, and reconcile budge
  • Monitor inventory of office technology and assist with replacement purchase proces
  • Submit facility-related requests, as well as track and perform follow-up
  • Develop and maintain accurate and comprehensive records and files according to the record retention schedule
  • Coordinate travel arrangements and track all travel related requisitions and expense reports
  • Other duties as assigned
