- Minimum of 3 years administrative experience
- Proficient in office productivity software (i.e. Microsoft Outlook, email, database entry
- Experience maintaining focus while meeting deadlines in a fast-paced, multi-tasking environment
- Bachelor’s Degree
- Experience working in a higher education setting
- Experience working with Texas State University’s systems (i.e. People Admin, SAP , Banner, TEAMS , Canvas, BDMS )
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties- The Administrative Assistant II, under supervision of a director, provides administrative and clerical support to the advising center, supervises student employees, and manages front desk operations
- Oversee front desk operations and foster a professional/student-centered environment in the reception area
- Open and close the office at set times
- Greet, screen, and route visitors in a courteous manner
- Assist students, parents, faculty, staff, and visitors by answering questions and/or referring to appropriate campus resource
- Answer multi-line telephone, screen and transfer calls, take messages, and refer to other offices as appropriate
- Maintain multi-user electronic calendar and schedule appointments for advising center staff
- Recruit, screen, and hire staff of student employees
- Provide initial and ongoing training to staff of student employees
- Create student employee schedules; track and approve pay for student workers
- Monitor advising center inbox and respond/forward emails appropriately
- Order office supplies, track expenditures, and reconcile budge
- Monitor inventory of office technology and assist with replacement purchase proces
- Submit facility-related requests, as well as track and perform follow-up
- Develop and maintain accurate and comprehensive records and files according to the record retention schedule
- Coordinate travel arrangements and track all travel related requisitions and expense reports
- Other duties as assigned
