About the Role

The Mailroom Clerk is responsible for managing incoming and outgoing mail, scanning and organizing client documents, maintaining physical files, and ensuring the timely and accurate delivery of important correspondence. This role plays a critical part in supporting attorneys, paralegals, and legal staff by maintaining organized records and ensuring that client documents are handled securely and efficiently.

PLEASE NOTE:
This is 100% in person at our San Rafael location, with a regular schedule of 9:00AM-6:00 PM US Pacific Time.

Key Responsibilities
  • Receive, sort, and distribute incoming mail and correspondence for all clients.
  • Scan incoming mail and client documents accurately and in a timely manner.
  • Upload, categorize, and route scanned documents to the appropriate legal team members.
  • Organize, file, and maintain physical client records and documentation.
  • Ensure physical client files are accurate, complete, and up to date.
  • Prepare outgoing correspondence and legal documents for mailing to clients.
  • Deliver and mail documents through Fed Ex, UPS, USPS, and other courier services as needed.
  • Transport and submit filings and legal correspondence to USCIS, Immigration Courts, government agencies, and other designated locations when required.
  • Handle confidential client information and sensitive legal documents with care and discretion.
  • Monitor incoming and outgoing mail to prevent delays, errors, or misplaced documents.
  • Maintain a clean, organized, and efficient mail room and file storage system.
  • Communicate with attorneys, paralegals, and administrative staff regarding urgent or time-sensitive documents.
  • Track shipments, delivery confirmations, and document receipts when necessary.
  • Assist with administrative, filing, and document management projects as assigned.
Qualifications
  • High school diploma or equivalent required.
  • Prior experience in a mail room, records management, administrative support, or professional office environment preferred.
  • Strong attention to detail and organizational skills.
  • Ability to manage large volumes of documents while maintaining accuracy.
