A respected nonprofit senior community in San Rafael, CA is seeking an Administrative Assistant for a temp-to-hire opportunity supporting administrative leadership, department teams, residents, visitors, and daily office operations. This role is a strong fit for a detail-oriented office professional who enjoys variety, organization, customer service, and being a dependable point of contact in a busy administrative environment. The Administrative Assistant will work closely with supportive leadership and collaborative team members while helping maintain a professional, welcoming, and well-organized office setting.
This is an excellent opportunity for someone with 1 to 2 years of office experience who values stability, community-focused work, positive teamwork, and the potential to grow into a long-term role.
- Greet, direct, and assist visitors and residents while maintaining a clean, organized, and professional reception area.
- Provide administrative and clerical support, including document preparation, data updates, research, records maintenance, and special projects.
- Manage incoming mail, postage, office supplies, kitchen supplies, and general inventory for administrative areas.
- Assist with office equipment coordination, including printers, phones, computers, small office machines, and service call dispatching as needed.
- Support board and committee meeting preparation, including notices, packet formatting, document preparation, setup, and meeting logistics.
- Maintain confidentiality while supporting resident, vendor, department, and administrative records.
- Pay: $24 to $26 per hour.

- Provide front desk, reception, and visitor support in a professional administrative setting.
- Prepare documents, update records, maintain files, and complete administrative projects.
- Support meetings, office supply management, mail distribution, postage, and general office coordination.
- Assist staff and residents with office equipment, communication needs, and administrative requests.
- 1 to 2 years of administrative assistant, office support, clerical, or related experience.
- Strong organizational skills with excellent attention to detail.
- Proficiency with word processing and spreadsheets, preferably Microsoft 365.
- Ability to handle confidential information with professionalism and discretion.
- Effective written and verbal communication skills, including business writing and telephone etiquette.
- Strong interpersonal skills with patience, professionalism, and a customer-service mindset.
- Good analytical, problem-solving, prioritization, and follow-through skills.
- Ability to work in a busy environment with frequent interruptions while maintaining accuracy and a positive attitude.
- Willingness to work occasional overtime when needed to meet deadlines.
- Experience working in a nonprofit, community, residential, senior living, or service-oriented environment.
- Familiarity with office equipment, printers, phones, laptops, projectors, digital cameras, and basic troubleshooting coordination.
- Experience supporting board meetings, committees, meeting packets, notices, or formal administrative meeting preparation.
- Comfort assisting older adults or residents who may require extra patience and clear communication.
