The Surgery Scheduler maintains physician’s clinics and surgery schedules, provides direct assistance to physicians, and manages communication with staff, patients, physicians, and the Practice Leader. The Scheduler also maintains excellent communication with local hospital and outpatient facilities.
Responsibilities- Scheduling:
Make appointments for new and returning patients; schedule surgeries, procedures, and colonoscopies; maintain physician schedules to assure efficient workflow; interface with Practice Leader regarding scheduling issues. - Direct assistance to physicians:
Provide administrative assistance; obtain necessary authorizations for surgeries, procedures, and colonoscopies (if applicable); submit clinical information to outside sources upon doctor request (e.g., medical records for referrals, surgery details). - Direct communication with patients:
Answer incoming calls with excellent customer service; provide new patients with registration and prep information; greet patients in a professional, welcoming manner; send letters regarding surgery information. - Office Maintenance:
Maintain order in the waiting room; keep work area safe and orderly; maintain exam rooms as needed; report facility problems promptly. - General:
Remain professional and calm in emergent or high-pressure situations; act as a team player; perform other duties as required; lead projects to establish standardized scheduling practices organization-wide; may require work at multiple locations.
- High school diploma or GED required.
- At least two years of related medical office experience.
- Prior referral and authorization experience.
- Demonstrated punctuality, reliability, and professionalism.
- Prior surgery scheduling experience preferred.
- Exemplary follow-through and task completion; strong customer service skills.
- Ability to multi-task; strong attention to detail; understanding and use of medical terminology.
- Knowledge of CPT and ICD-10 codes, with general surgery knowledge a plus.
- Proficient computer skills and accurate data entry; experience with electronic medical records (Allscripts a plus).
- Ability to read, write, perform arithmetic, and reason at a high school level or equivalent.
- Ability to work unsupervised.
