At Guide Dogs for the Blind (GDB), we create life-changing partnerships through preparing highly qualified guide dogs and K9 buddy dogs, as well as providing guide dog readiness skills. We are seeking a Client Service Representative (CSR) who will play a critical and complex role as the primary point of contact for our San Rafael, CA veterinary clinic. This high-volume, multi-department veterinary clinic supports over
250 on-campus dogs,100+ volunteer foster care providers,200+ volunteer breeder custodians, as well as program clients living throughout North America. This is not a typical small clinic front desk role — the CSR is a central hub for communication, coordination, and logistical support across internal departments, external specialists, and a large network of volunteers.
- Greet all visitors warmly, assess needs, and direct appropriately while providing guidance per established protocols, documenting all communications/incidents and escalating to veterinarians when needed
- Ensure smooth daily operations and serve as the primary liaison between internal/external clients, veterinary staff, and related departments by communicating, coordinating, and facilitating all calls, emails, walk-ins, procedures, and inquiries
- Schedule a wide range of appointments including exams, specialist consultations, offsite transportation, puppy physicals, kennel reservations, and more
- Accurately enter, process, and maintain internal/external medical reports, labs, vaccinations, medications, diet information, health certificates, and complex medical records in the GDB database with clarity and completeness
- Prepare packages for graduating guides and new dogs to our breeding progam and fill and maintain supply levels of prescriptions and heartworm/flea preventatives
- Train and supervise office volunteers, collaborate with veterinarians, technicians and staff to maintain efficient clinic operations, and adjust daily appointments to accommodate urgent needs and conflicts while upholding the GDB organizational standards for conduct, ethics, and safety

- Collaborating with an outstanding team that leads the field in breeding, training, and caring for guide dogs
- Working on our beautiful campus in San Rafael, California

- 2+ years of administrative or client service experience; veterinary or medical setting strongly preferred
- Demonstrated ability to work both independently and collaboratively across departments with a high level of proficiency in email/voicemail, complex databases, and MS office programs
- Strong interpersonal and problem-solving skills with a solution-oriented approach and strong multitasking abilities in high-complexity, high-volume settings

Pay Range:
$30 - $36/hour
