This is an excellent opportunity for someone with strong billing, invoicing, and collections experience to work in a professional, collaborative, and fast‑paced environment.
Position OverviewAs an Accounts Receivable Administrative Assistant, you will play a key role in the preparation and management of client invoices, payment tracking, and accounts receivable support. The ideal candidate has experience with professional services billing, strong Excel skills, and the ability to work closely with project managers, engineers, and accounting staff to ensure timely and accurate invoicing.
This is an in‑office position offering long‑term growth opportunities within the company and regular collaboration with engineers, project managers, accountants, and external clients.
Key Responsibilities- Prepare, review, and process client invoices for engineering and consulting services
- Coordinate billing information with project managers to ensure accuracy and completeness
- Track accounts receivable, monitor aging reports, and assist with collections follow‑up
- Communicate professionally with clients regarding invoices, payment status, and billing inquiries
- Maintain organized billing records, documentation, and supporting backup
- Perform data entry and reconciliation related to billing and payments
- Assist with month‑end and periodic accounting tasks as needed
- Create and maintain spreadsheets and reports using Microsoft Excel
- Support general administrative and accounting projects as required
- High school diploma or equivalent required; college coursework or degree in accounting or business preferred
- 2–4 years of experience in accounting support, billing, or accounts receivable (professional services experience a plus)
- Strong proficiency in Microsoft Office, particularly Excel
- Experience with invoice preparation and collections processes
- High level of attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to work effectively with project managers, clients, and accounting professionals
- Reliable attendance and ability to work full‑time in the office
