Logistics Administrator

Role Overview

The Logistics Administrator role primarily supports the project management and service teams to ensure exceptional service andquick turnaround is provided to our clients. This is achieved through fast and effective loading of shipments for clinical trialdeployment in a time sensitive industry.

We handle shipments containing commoditiesacross clinical trials (Drug product, medical devices and lab kits toname a couple), delivering to clients worldwide. Our main shippingteam manages the overall coordination of shipments, fromcollection to delivery, while our project management team handles the project overview, client escalations and pre-compliancecoordination. The
* Logistics Administrator
* plays acrucial support role to both these teams in sitting in the middle toensure that all shipments are loaded correctly, timeously and anyissues are raised with both the project management and service teams, avoiding any escalations or issues that arise, such as kitbuilding and deployment delays. This role is highly administrative, involving significant data capturing through shipment loading and efficient communicationacross teams and clients.

You will focus on identifying and addressing recurring issues or delays, using this information tosuggest process improvements and reduce common errors noted. As part of your day‑day responsibilities, you will capture and organise shipment data, process quick turnarounds for client sand loop in respective teams for next steps.

• Efficiently managing shipment loading
• Looping in project management and shipping management teams to action next steps and final processing
• Supporting the project management team by alleviatingpressure related to common shipment loading issues.
• 1. Update our CRM (Salesforce) with feedback from these commonshipment loading issues and provide solutions for same.
• 2. Save and upload any documentation relating to these queriesonto the relevant orders.

• Capturing and documenting data on shipments to identify trends, delays, or recurring issues.
• Loading of time-pressure shipments for processing on Salesforce and working across project management and shipping teams to action next steps.
• Sharing insights and key data with the larger shippingteam/project management team, ensuring that this is logged and tracked in Salesforce.
• Maintaining detailed records of client-specific shippingrequirements and ensuring they are visible and updated in Salesforce.

• Strong organisation skills:
  Ability to manage multiple tasksand prioritise efficiently, especially when dealing with urgent issues or escalations
• Strong verbal and email communication skills:
  Clear and professional communication with different teams acrossproject management and shipping teams.
• Attention to detail:
  Careful data capturing and loading of shipments, spotting trends or issues in the information being loaded.
• Time management:
  Efficient in managing time, especially when handling multiple shipment loading and loop-ins at once,ensuring all issues are resolved in a timely manner.

• Undergraduate Degree in any financial/commercial subjects, with strong academics (multiple distinctions an advantage).
• Matric core Mathematics with a minimum 60% pass.
