Purpose of the Job
Manage the activities of the payroll department to ensure accurate and time‑ous payment of salaries and wages. Ensure that all legal and legislative requirements relating to payroll are adhered to. All death / disability / termination claims are processed.
Key Relationships- Internal – HR, Finance, Management, all staff
- External – SARS, Sage / VIP, RMA, WCA, UIF, Medical Aid, SP, Provident Fund(s) SP, ERS, ad hoc contractors / service providers, MIBCO
- Completion and submission of all statutory and legislated requirements:
Monthly EMP, Annual WCA return of earnings, Bi‑annual SARS submissions. - Support the payroll supervisor in the management of the payroll team by ensuring time‑accurate completion of: loading new employees, correct rates of pay, provident funds and RFI linking, company vehicles and petrol tax, leave methods, ESS linkage, memo screen usage, termination payments, monthly payment reconciliations, payroll deduction reconciliations, bank payments, and salary costs loaded on Salesforce for approval before payment.
- Optimal utilisation of payroll‑related systems: ensure employee linking to the clocking system, online system utilisation, journals posted on ACUMATICA, updates on earning lines and calculation methods, successful addition and set‑up of new companies, successful registration for all legislative requirements, and sign‑off of relevant payroll data from reporting facilities.
- Supply required information to relevant parties: statistical reports to HR and government (UIF, etc.), weekly and monthly payroll expenditure, leave, absence statistics, and ad‑hoc reports when requested.
- Train payroll staff, providing a training manual for new employees, keeping the manual updated, and delivering ongoing training to new and developing team members.
- Performance management of payroll staff with the Payroll Supervisor: discipline and corrective action per company procedures, approval of leave forms, ESS usage by management for leave records, daily time and attendance report updates to reflect leave days taken, and quarterly performance discussions.
- 10+ years of payroll management experience in a medium‑sized organisation, handling multiple payrolls (monthly and weekly).
- Experience with SARS returns.
- Comprehensive knowledge of the MIBCO agreement.
- Comprehensive knowledge of Sage People.
- Knowledge of the ERS Biometrics clocking system.
- Intermediate financial knowledge.
- Minimum education:
Matric and/or payroll diploma or accounting qualification.
- Sage VIP Payroll (People) System
- Microsoft Office (all suites) – Advanced proficiency
- Relevant payroll system experience
- SARS online systems
- Online banking systems
- ESS
- WCA / RMA online
R to R, depending on experience.
