IVF Patient Account Representative-Healthcare

Position OverviewThe IVF Account Representative is responsible for communications between the patient and the facility in all areas related to the financial aspect of IVF procedures, including responding to and resolving patient concerns and communicating financial responsibility and benefit questions. This position has the responsibility of ensuring the patient is aware of the cost of their treatment plan and updating the patient of the financial impact of changes that may be made to the plan.
This position is full time, Monday - Friday, 8 hours per day. ACRM offers competitive salary and benefits to include Medical, Dental, Vision, Life, 401k Profit Sharing Plan and Paid Time Off.
- Reviews appointment schedule in Next Gen for upcoming IVF financial consults
- Reviews patient’s insurance benefit information to determine whether or not planned cycle will be covered by insurance or self‑pay
- Composes and sends email to patient summarizing cycle inclusions, coverage information, patient financial responsibility, financing options (only if a consent to be contacted by email is in‑house and consult to be conducted over the phone)
- Calls or meets with patient to review cycle information
- Composes collections notes in Next Gen detailing consult
- Analyzes patient insurance and calculates patient financial responsibility for IVF cycles
- Determines if insurance has coverage for procedure and the amount needed to cover
- Coordinates internally with the PFS and PSS teams on patient payments
- Reviews patient accounts for credits or balances
- Reviews IVF package options when applicable
- Corresponds with patient on coverage and collects deposit amount
- Marks patient “cleared by financial” in RESource once IVF deposit is paid
- Marks Tentative Baseline appointment “kept” in Next Gen
- Collects payments (either in person or via Card connect) and posts to patients’ charts in Next Gen
- Creates alert in Next Gen to be notified of payment once made
- Posts charges, payments, refunds and/or adjustments to Next Gen
- Tasks applicable authorization representative to start authorization process for IVF cycle
- Prepares daily reports from Crystal, Next Gen and Excel spreadsheets and reviews them for upcoming IVF cycles
- Creates alert in Next Gen instructing the front desk how to post and clear IVF cycle charges
- Coordinates directly with team and medical providers on upcoming cycles
- Determines the correct alerts to be applied to patients’ chart for cycle being completed and funds to collect
- Approves patient loan amounts requested by patient from lending companies
- Analyzes and resolves patient account queries/issues either by phone or email in a timely manner (by end of day)
- Bachelor’s Degree in related discipline
- Three years’ experience in healthcare with patient financial communication responsibilities
- Basic understanding of IVF
- Familiarity with infertility terminology
- Strong knowledge of insurance benefit terminology and ability to calculate financial responsibility based on benefit information
- Effective written and verbal communication skills with co‑workers, management and patients
- Must be able to work independently
- Excellent time management skills

- Insurance knowledge helpful
- Customer Service knowledge a must
- Proficiency in Microsoft Office products
