Wharton-Smith, Inc. is currently seeking a motivated and detail-oriented Prequalification Specialist to support our subcontractor prequalification and vendor management processes. This role plays a critical part in ensuring our subcontractor base is compliant, qualified, and ready to perform. You will serve as the primary point of contact for subcontractor prequalification efforts and will work closely with internal teams and external vendors to coordinate approvals, manage documentation, and maintain data integrity.

Responsibilities
  • Coordinate updates and transitions to new subcontractor prequalification forms and procedures
  • Serve as the main point of contact for all subcontractor prequalification inquiries and submissions.
  • Initiate and manage prequalification requests from internal teams and external vendors.
  • Oversee the end-to-end approval process to ensure compliance and timely responses.
  • Track and report the status of subcontractor prequalifications during bidding phases and for recommended award vendors.
  • Manage expiration dates and renewal cycles of prequalification documentation.
  • Work with Corporate Services to maintain accurate vendor IDs in SAGE (or similar ERP systems).
  • Collaborate with Operations Coordinators to ensure proper vendor setup in internal systems.
  • Maintain and update tracking tools (e.g., ) to manage responsibilities, statuses, and key performance indicators.
Qualifications
  • 0–3 years of experience in construction or a related administrative role (preferred but not required).
  • Strong organizational skills with a high attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Familiarity with project management or collaboration tools such as , Excel, or similar platforms.
  • Basic understanding of construction subcontractor processes is helpful, but not mandatory.
