Position Summary

The Administrative Assistant is the first point of contact for customers and plays a key role in maintaining organization across the shop. This position handles communication, order intake, scheduling, message management, and administrative tasks that support production and customer satisfaction.

You will ensure information flows correctly between Sales, Customer Success, Production, and Shipping, keeping the Flooded workflow smooth and error-free.

Key Responsibilities
  • Answer phones, return missed calls, and manage voicemail messages using established systems.
  • Greet walk-in customers and assist with basic questions or direct them to the correct department.
  • Monitor company email inboxes and route messages appropriately.
  • Update customers on order status when necessary.
  • Schedule customer pickups and deliveries through YoPrint.
  • Assist with entering customer information, quote requests, and new orders into YoPrint.
  • Ensure forms, details, and project notes are complete and accurate before handing off to Customer Success or Production.
  • Upload artwork, proofs, and documents into Google Drive using Flooded's folder structure.
  • Maintain digital organization across YoPrint, Google Drive, Slack, and internal platforms.
  • Take accurate messages for staff and ensure they are documented in the proper system (Slack/Base
    44 app).
  • Maintain office supplies inventory and assist with supply ordering.
  • Support the Production Manager with paperwork, labels, and job packets as needed.
  • Assist with daily reporting, follow-up reminders, and calendar organization.
  • Help with scanning, copying, and filing documents.
  • Provide a friendly, welcoming experience at all times.
  • Ensure customers receive clear and accurate information.
  • Help resolve small issues and elevate larger problems to the correct team member.
  • Keep the front office neat, stocked, and organized.
  • Assist with creating templates, forms, and documentation when new processes roll out.
  • Light data entry and record-keeping for daily operations.
Qualifications
  • Strong communication skills – professional, friendly, and confident.
  • Highly organized with strong attention to detail.
  • Able to multitask in a fast-paced environment.
  • Comfortable learning new software (YoPrint, Google Workspace, Base
    44 apps, Slack).
  • Basic computer skills (typing, email, file organization, uploading/downloading files).
  • Customer Service Experience Preferred.
  • Print shop or production environment experience is a bonus but not required.

Hours and Pay

Full-time position.

Standard business hours (with occasional flexibility during peak seasons).

Pay based on experience.
