The role requires in-depth knowledge of front office processes, including patient registration, insurance billing, and effective communication with patients and clinic employees. The specialist must maintain a high level of customer focus at all times, especially during periods of high patient volume.

Responsibilities- Demonstrate a high level of customer service, greeting, registering, and discharging patients.
- Cross‑train and assist with back‑office duties as needed within scope of practice.
- Accurately collect and input patient demographics and financial information at registration.
- Verify and update all patient insurance information during registration.
- Maintain strong knowledge of medical insurance plans, co‑pays, deductibles, and coverage limits.
- Stay up to date with changes to government and commercial insurance plans.
- Understand Fast Pace Self‑Pay program and collect required payments at registration.
- Answer the phone politely, patient‑centered, ensuring positive experiences.
- Facilitate patient flow by notifying the provider of patient arrival and communicating delays.
- Retrieve, fax, or mail medical records to primary care providers and coordinate the process for continuation of care.
- Cross‑train on back‑office clinical skills as needed.
- Complete all mandatory compliance training and consistently follow procedures.
- Maintain friendly, cordial relationships with clients and employees and foster a positive work atmosphere.
- Perform physical, sensory, cognitive, and environmental functions as required, including folding towels, cleaning tables, and assisting patients with exercise equipment.
- Welcome new employees, provide clinic tours, and introduce them to team members.
- Assist new employees with training and job shadowing opportunities.
- Adhere to company standards of operations and core values: teamwork, communication, empowerment, quality of care, and friendliness.
- Promote and maintain a respectful culture of confidentiality for employees, employers, patients, and business.
- Demonstrate proficiency with basic PC skills, including typing, mouse use, MS Outlook, and Word.
- Maintain the overall cleanliness and organization of the office and reception area.
- Perform other duties as assigned by management.
- High School Diploma or equivalent.
- Current CPR license required.
- At least one year of customer experience in a medical setting, preferably urgent care.
- Basic medical terminology and insurance knowledge.
- Proficiency with Microsoft Office (Word, Outlook, Excel) and typing 70–100 words per minute.
- Experience with billing and coding is a plus.
- Ability to follow company policies and procedures and maintain compliance.
- Strong interpersonal and communication skills.
- Ability to work effectively in a fast‑paced environment.
