We’re seeking an exceptional Executive Assistant & Office Manager to support executives and principals while helping ensure the office runs smoothly day to day. This is a high-trust, high-impact role for someone who thrives in a fast-paced environment, anticipates needs before they arise, and takes pride in delivering thoughtful, polished execution. You’ll be a key partner to leadership—managing priorities, coordinating logistics, and maintaining a welcoming, well-run office experience for internal and external stakeholders.

Professionalism, sound judgment, confidentiality, and a proactive mindset are essential.

Responsibilities
  • Proactively manage complex calendars - scheduling across internal and external stakeholders, prioritizing meetings, and resolving conflicts quickly and tactfully
  • Serve as a primary point of contact for executives and principals, handling communications with discretion and professionalism
  • Coordinate travel: itineraries, accommodations, transportation, and real-time adjustments as needed
  • Track action items and follow-through on deliverables; help keep priorities moving with clear organization and timely reminders
  • Support special projects as assigned (research, data collection, reporting, and light coordination)
  • Draft, edit, and proofread documents, correspondence, and presentations with attention to detail
Office Operations
  • Greet, direct, and provide hospitality and assistance to all visitors
  • Answer the main phone line and direct calls appropriately
  • Prepare for client meetings (conference room setup; coordinate and order breakfast/lunch as needed)
  • Order and maintain office and kitchen supplies
  • Coordinate with building management regarding maintenance and office-related issues
  • Pick up and distribute mail and packages
General Administrative Support
  • Maintain organized files and records; handle confidential information with care
  • Build strong working relationships with internal teams, external partners, and vendors
  • Step in wherever needed to keep leadership supported and the office running efficiently
Qualifications
  • 3–5+ years of executive-level administrative support experience (experience supporting multiple leaders strongly preferred)
  • Exceptional organizational skills and attention to detail; able to manage multiple priorities with a calm, steady presence
  • Strong written and verbal communication skills with a polished, professional demeanor
  • High degree of discretion and integrity; proven ability to handle confidential information
  • Proactive problem-solver who anticipates needs, identifies gaps, and takes ownership through completion
  • Strong interpersonal skills—warm, service-minded, and able to build trust with diverse stakeholders
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfort learning new business tools
  • Flexible, team-oriented mindset; resourceful and adaptable under pressure

The base salary that we reasonably expect to pay for this role is $82,500 – $110,000. Actual base salary will be determined by factors including a candidate’s skills, education, and experience. Base pay is one important aspect of our total rewards package. The base pay range indicated here does not include any additional benefits or bonuses you may be eligible for based on your role and/or employment type.
