The Client Service Representative serves as the front desk receptionist at Pacific and Santa Cruz Veterinary Specialists, performing record‑keeping, clerical duties related to animal patient care, and miscellaneous support for the veterinary practice manager and staff. Responsibilities include maintaining hospital organization, handling data entry, word processing, mail service, and familiarizing with veterinary records and terminology.
Key Responsibilities- Open and close the practice as directed.
- Clean and straighten public areas, including the front desk, reception area, waiting area, office, public restroom and exam rooms.
- Welcome clients and patients, offering comfort such as coffee, and directing them to the waiting area.
- Answer incoming telephone calls with proper etiquette, screen calls, and provide basic information on veterinary services, fees and animal care.
- Prepare appointment sets by reviewing client and patient records, completing necessary forms, and scanning documents into the electronic medical record.
- Handle emergency situations, following clinic policies to refer clients for immediate treatment.
- Verify immunizations/tests, recommend updates, and notify clinical staff of patient arrivals.
- Ensure patient discharge instructions are electronically signed and set up reminders in the system.
- Present clients with medications, kits, and other items to take home.
- Itemize rendered services verbally and inform clients of the total due, securing payment or arrangements as needed.
- Accept and process cash, checks, credit card payments, Care Credit, and Scratch Pay deposits.
- Schedule appointments, preparing all required clinical records and certificates in advance.
- Sell over‑the‑counter pet foods and supplies; lift items up to 28 lb.
- Enter data, retrieve and modify records, and assist in updating client/patient files.
- Retrieve and scan medical records accurately and promptly.
- Perform end‑of‑day procedures, including reconciling invoices, balancing the cash drawer, running reports, preparing the bank deposit, and presenting information to the practice manager or owner.
- Perform other duties as assigned.
- Client‑service experience.
- Comfortable using multiple computer applications.
- High school diploma or GED required, or equivalent education, certification, training, and/or experience.
- Knowledge of clerical procedures and file organization.
- Excellent customer‑service skills, courteous and prompt assistance.
- Accurate cash handling and cashiering abilities.
- Strong multitasking skills with attention to detail.
- Flexible scheduling, including weekends and holidays.
- Ability to work at a keyboard for extended periods and perform physical tasks such as standing, walking, climbing, and lifting animals up to 50 lb.
- Experience with multi‑line phone systems.
- Veterinary experience.
- Experience handling clients in emotional states.
- 40 hours per week; four ten‑hour shifts, including one weekend shift every week and occasional holidays.
