Position: Community Manager (Santa Fe)

Community Manager

Heritage Ascent is seeking a Community Manager to support the day-to-day operation, member experience, sales, marketing, and growth of our coworking locations. This is not a traditional receptionist or front-desk position. The Community Manager is a primary onsite point of contact for members, guests, and prospects while also supporting lead follow-up, tours, proposals, marketing, member engagement, billing, reporting, and business operations.

Heritage Ascent is in a growth phase. We are implementing new technology, expanding our sales and marketing efforts, developing standardized operating procedures, and building the systems that will support future locations. This role is ideal for someone who is highly responsive, entrepreneurial, organized, comfortable talking to people, and excited by variety. No two days will look exactly the same. We are looking for someone who notices opportunities, brings forward ideas, follows through, and wants to help build and grow the business.

Key responsibilities include serving as a primary onsite point of contact for members, guests, and prospective clients; creating a professional, welcoming, hospitality-focused experience and building strong relationships with members; coordinating member onboarding, office access, conference room bookings, mail and packages, meeting preparation, and other member services; preparing coffee and hospitality areas, monitoring supplies, regularly walking the space, and ensuring the location remains clean, organized, stocked, and ready for members and guests;

identifying maintenance, janitorial, technology, and facility needs and following requests through resolution; responding promptly to new leads and member inquiries by phone, email, website live chat, and in person; proactively calling and following up with prospects, scheduling and conducting tours, preparing proposals, and supporting leads through the sales process from initial inquiry through membership and onboarding; monitoring website live chat throughout the workday, including mobile notifications when away from the desk, so inquiries receive timely responses;

supporting Heritage Ascent marketing efforts, including social media, blog and website content, email marketing, digital listings, member communications, and lead-generation campaigns; creating and updating social posts, emails, flyers, presentations, and other materials using established templates and brand standards, primarily in Canva; assisting with digital advertising, marketing performance tracking, grassroots outreach, broker and community relationships, and other business development initiatives based on experience and team needs;

preparing recurring member communications highlighting events, benefits, discounts, amenities, and other relevant information; helping plan member events, networking opportunities, referral programs, surveys, giveaways, and other community-building initiatives; gathering member feedback and helping identify and implement opportunities to improve the member experience and retention; maintaining accurate member, prospect, booking, billing, marketing, and operational information; assisting with monthly reporting and tracking of key metrics such as leads, tours, proposals, conversions, occupancy, renewals, cancellations, revenue, and member engagement;

identifying inefficient or overly manual processes and helping develop, document, and improve Standard Operating Procedures (SOPs); and bringing forward ideas for improving member experience, marketing, sales, operations, and business growth.

Team members may take greater ownership of specific areas such as digital marketing, events, sales outreach, content creation, reporting, or other initiatives based on individual strengths and experience.

Heritage Ascent is currently implementing Yardi Kube as its primary coworking management platform. Community Managers may assist with implementation, testing, data entry, workflow development, and transitioning existing processes into the new system. Some tasks may remain manual while implementation is underway. Once launched, Yardi Kube will support functions such as memberships, agreements, bookings, billing, member accounts, service requests, and other day-to-day operations.
