The Opportunity
We're looking for an Administrative Assistant to join our team on a 12-month contract. This role is ideal for someone who enjoys creating a welcoming environment, keeping operations organized, and providing exceptional support. As the first point of contact for clients, visitors, and staff, you'll play an important role in ensuring our office runs smoothly and efficiently every day.

What You’ll Do
Some of your key responsibilities may include:
Serving as the first point of contact for clients, visitors, and incoming inquiries, ensuring a positive and professional experience.
Supporting day-to-day office operations, helping maintain organized work spaces, meeting rooms, and common areas.
Preparing, formatting, proofreading, and distributing correspondence, reports, presentations, and other business documents.
Maintaining electronic and physical filing systems, databases, and records with a high degree of accuracy and confidentiality.
Coordinating incoming and outgoing mail, courier services, travel arrangements, and general office logistics.
Ordering and managing office supplies and other workplace resources.
Assisting with internal communications, marketing materials, website updates, social media content, and promotional items.
Supporting the planning and coordination of staff events, meetings, training sessions, and other company activities.
Tracking receipts, maintaining documentation, and providing administrative support related to company purchases and expenses.
Collaborating with team members across the organization to ensure administrative processes run smoothly and efficiently.
Providing additional administrative support and special project assistance as required

Education/Experience
Authorization to work in Canada
Administrative Assistant Diploma, Office Administration Certificate, or a related program.
Minimum of 1 year of experience in an administrative support, office administration, or customer service role.
An equivalent combination of education and experience may be considered.
Skills/Abilities
Knowledge of computer systems and the ability to work with various software applications, including file management applications and Microsoft Office Suite
Excellent interpersonal and communication skills (verbal and written)
Excellent attention to detail, organizational and record-keeping skills
Understanding of project management best practices
Ability to use general office equipment
Understanding of records management related to project management
Adept at multitasking and handling a variety of tasks in a rapidly changing environment
Proficiency with keyboarding skills.
