Administrative Assistant I

Airbus Mobile Manufacturing Site is looking for an Administrative Assistant I to join our A320 Completions team located in Mobile, AL.

Responsibilities
  • Support the Director of A320 Completions and the team with office administration procedures, correspondence, business and event arrangements, call screening and prioritization, meeting support, and travel requests.
  • Organize presentations and reports on a regular basis.
  • Collect, analyze, and report data to support the Performance Management System.
  • Draft emails, letters and other correspondence received by the Final Assembly Line for the Director's signature and in response to general information requests.
  • Follow up on actions requested by or requiring the Director's approval to ensure timely review and response.
  • Capture meeting minutes and distribute as required.
  • Arrange ancillary activities such as dinners, team events, and other related business events.
  • Book and maintain travel schedules and coordinate travel with the Director to maximize efficiency and ensure smooth travel.
  • Participate in national and international projects.
Qualifications
  • Bachelor's Degree in Business Administration, Operational Management, or a related field preferred, or a combination of education and practical experience.
  • Proficiency using Microsoft Office and G Suite.
  • Previous experience with Concur travel management system preferred.
  • Willingness to learn, proactive, and excellent communication skills (written and verbal).
  • Ability to work with flexibility and under high pressure.
  • Supportive and able to adapt to a changing environment.
  • Detail oriented with excellent proof reading and writing skills.
Physical Requirements
  • Vision: able to see and read computer screens, documents, reports, and engineering drawings.
  • Hearing: able to participate in conversations in person and via teleconference or phone; able to hear sounds on production floor including safety warnings or alarms.
  • Speaking: able to speak in conversations and meetings.
  • Equipment Operation: able to use personal computer, telephone, copies, fax machine, and related office equipment; able to operate most office and personal electronic equipment and some tools including hydraulic lifts.
  • Carrying: able to carry documents, tools, drawings, and electronic equipment up to 30 lbs (14 kg).
  • Lifting: able to lift documents, tools, drawings, electronic equipment up to 30 lbs (14 kg).
  • Pushing / Pulling: able to push and pull small office furniture and some equipment and tools.
  • Sitting: able to sit for long periods of time in meetings and working on a computer.
  • Squatting / Kneeling: able to squat or kneel to retrieve or replace items stored on low shelving.
  • Standing: able to stand for discussions in offices or on production floor.
  • Travel: able to travel independently and at short notice.
  • Walking: able to walk through office and production areas, including uneven surfaces.
Working Environment

The Airbus U.S. Manufacturing Facility for commercial aircraft opened in 2015. It produces A320 family aircraft and added a second product line for the A220 in 2019.
