Job DescriptionThe A220 program is looking for an Administrative Assistant to provide administrative support to the Head of the A220 and the overall organization in office administration procedures, correspondence, business and event arrangements, purchase orders/goods receipts, and travel requests/expense reimbursements.

Your Work EnvironmentLocated on Airbus Way, the Airbus U.S. Manufacturing Facility for commercial aircraft opened at the Mobile Aeroplex at Brookley in 2015 and added a second product line for the A220 in 2019. The facility strengthens the U.S. aerospace industry and is part of Airbus’ strategy to enhance its global competitiveness.
Responsibilities- Draft emails, letters and other correspondence for the A220 Program and obtain the HO’s signature as needed.
- Act on requests requiring the HO’s approval and ensure timely submission.
- Perform highly confidential duties for the HO, maintaining confidentiality and discretion while preparing materials.
- Accurately process and submit expenses and goods receipts promptly.
- Develop procedures for file creation and maintain program records.
- Provide sophisticated calendar management, prioritising inquiries and resolving conflicts with minimal guidance.
- Make complex travel arrangements for domestic and international travel for the HO and designated personnel, including ancillary activities such as customer dinners and events.
- Coordinate the HO’s travel schedule and collaborate with other travellers to maximise efficiency.
- Assist with organising Airbus participation in local events to reinforce the company image.
- Cultivate relationships with local officials and community leaders to gain support for the Airbus A220 Program.
- Represent the HO’s Final Assembly Line in meetings when appropriate.
- In the HO’s absence, ensure all matters are addressed by appropriate staff.
- Lead or participate in company event organisation.
- Work closely with assistants throughout the company for consolidated efforts on behalf of senior leaders.
As assigned, including but not limited to event organisation and collaboration with corporate/local assistants.
Requirements- Required
Education:
Bachelor’s Degree in English, Business Administration, Communications, or similar. - Required Experience:
Minimum 2 years of progressive experience as an administrative assistant to a senior level manager. - Knowledge, Skills, Demonstrated Capabilities:
- Extensive Digital Workplace Knowledge (Google, Gmail, GMeet, Smartsheets).
- Effective oral and written communication.
- Maintain a complex schedule and coordinate with MMS calendar to prevent conflicts.
- Detail‑oriented with excellent proof‑reading and writing skills.
- Maintain confidentiality and handle inquiries discreetly.
- Preferred Experience:
- Analytics tools:
Tableau, Google Dashboard, Skywise, SAP, Concur, Click ‘n Buy. - Notary Public.
- Fluency in German and/or French is highly desirable.
- Analytics tools:
- Vision: adequate to read material on computer screens.
- Hearing: sufficient to engage in office conversations.
- Speaking: able to communicate in person or electronically to groups of varying size.
- Equipment operation: able to operate a wide range of personal and office equipment.
- Carrying: able to carry up to 30 lbs occasionally.
- Lifting: able to lift up to 50 lbs occasionally.
- Pushing/Pulling: able to push/pull items in office areas and shop floor.
- Sitting: able to sit extended periods at the computer and in meetings.
- Squatting/Kneeling: able to squat/kneel occasionally to retrieve items on lower shelves.
