Position Summary
The Human Services Clerk is responsible for providing secretarial and clerical support to the members of the Human Services team, and for assisting the Director in meeting departmental responsibilities for overall program planning and reporting, and maintenance of effective relationships with other community‑based and external agencies/programs and with funders.

Duties & Responsibilities

Sets appointments for visiting medical professionals, including traditional healers, and makes client medical referral appointments

Pulls medical charts

Helps set appointments for Medical Van Driver as required by the Director

Completes data entry for statistical reporting purposes

Records and relays correspondence

Assists with the maintenance of confidential client and administration files

Provides front‑line reception support such as greeting clients, triaging needs while maintaining confidentiality

Follow up with clients regarding appointments, referrals or missing information in compliance with privacy legislation

Schedules and coordinates meetings and meeting room use

Records meeting proceedings; prepares and distributes minutes

Makes travel arrangements

Assists Human Services staff in utilizing fleet vehicles

Types/word processes letters, memorandum, reports, presentation materials and other documents and does photocopying as required

Maintains an inventory of office and clinical supplies/medicines and equipment

Orders supplies/medicines and arranges for maintenance/repairs to equipment as required

Participates in the execution of internal or external program reviews as directed

Assists in budget process

Required Skills

Community College Diploma in Office Administration or Business field

3 years related experience

Knowledge, Skills & Abilities

Will have a basic understanding of the services offered by the Department and be aware of the other services available in the community and in the surrounding area

Will know and understand Batchewana First Nation’s Safety and Health Policies and Procedures and related Federal legislation

Relate effectively to program management and colleagues as a diplomatic and flexible team player

Work effectively with the management and staff of other programs/agencies

Relate effectively to community members

Communicate effectively in writing and verbally

Use computers – word processing, spreadsheets, presentation software

Requirements

Favorable CPIC with Vulnerable Sector Check

Valid G Driver’s License and access to insured vehicle (asset)
