The Assistant to the Chief Marketing Officer (CMO) performs all secretarial and administrative duties for the CMO. The CMO Assistant is responsible for coding, processing, filing and archiving all invoices for the Marketing division; maintains all databases utilized on behalf of the department, including information tracked for budgets, community benefits, etc. and orders supplies via ordering modules. The Assistant maintains financial reports and any other monthly reports required by the CMO.
The Assistant to the CMO will handle special projects on behalf of the CMO as deemed necessary. This position is responsible for maintaining an organized and professional work environment in the department to ensure the office reflects a positive image to the public. This includes maintaining files, monitoring storage areas for clutter, etc. The Assistant to the CMO must conduct themselves in a positive and professional manner and work to promote a positive image for the health system at all times.
High School Diploma in Business - Preferred
Experience2-3 Years Clerical or administrative functions - Required
Proficiency in Microsoft products Word, Excel and Power point - Required.
Proficiency in Microsoft Access - Preferred
License & CertificationNone Required
Core Job Functions- Completes all facets of clerical work such as correspondence, reports, maintains files and project notebooks, telephone and email communication.
- Prepares correspondence, using proper formats in an efficient and timely manner. Maintains CMO's appointment calendar and informs CMO of situations that arise in departments under his/her supervision. Keeps department organized and works to maintain a professional work atmosphere.
- Prepares monthly financial and accrual reports, codes and copies all department invoices. Research and correct any discrepancies. Maintains Access Database by entering all invoices and generating reports.
- Facilitates or works on special projects with a variety of groups as needed.
- Monitors payroll and serves as backup for payroll approval and PTO or missing punch entry as needed.
