Coordinator of Administrative Services - College of Engineering Technology and Computing
Reporting to the Dean, the Coordinator of Administrative Services oversees non‑academic operations supporting the Dean in planning, administration, and implementation of the college's goals and objectives. The Coordinator is responsible for the overall coordination of non‑academic functions in the college, exercising good judgment, discretion, and maturity in handling confidential information, responding to issues efficiently, effectively, and professionally. The Coordinator also supervises and organizes college activities.
Under general supervision, the incumbent may be required to perform additional job‑related tasks as directed. Further, this position demands the ability to handle sensitive information and manage various administrative responsibilities with professionalism and competence.
In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required eligibility verification form upon hire. This position does not offer sponsorship for employment visas.
Responsibilities- Coordinate the budgeting functions of state and agency accounts for the Dean's Office.
- Supervise and coordinate activities of student workers; coordinate with staff related to the activities sponsored by the College.
- Coordinate meetings and activities with the Dean's Advisory Council.
- Coordinate advertising and promotional materials for the college.
- Manage the college's files and records, including those pertaining to recruitment, selection, evaluation, promotion, discipline, and termination of faculty and staff.
- Prepare annual reports that include data (Assurance of Learning, Enrollment, Alumni, Employer, accreditation maintenance, etc.) for the college and stakeholders.
- Review faculty and staff travel authorizations and expense statements for approval.
- Provide excellent customer service by phone and in person.
- Perform general administrative and clerical tasks.
- Review course scheduling (BANNER) and classroom usage.
- Assist grants principal investigators (PI) within the college with operational support.
- Perform independent work with excellent time‑management skills.
- May be directed to perform job‑related tasks other than those specifically delineated in this description.
- Bachelor's degree from an accredited institution.
- At least five (5) years of experience and competency in office management and planning.
- Two to three (2‑3) years of experience with computer applications and software including Microsoft Office, Google, Adobe Creative Suite, Docu Sign.
- Demonstrated administrative ability and capacity to communicate with internal and external constituencies.
- Demonstrated commitment to the pursuit of excellence in education in a student‑centered living, learning, and working environment.
- Minimum 3‑5 years of experience working in an education or higher education setting.
The proposed salary range is $46,500.00 to $50,000.00 annually.
