Primarily assists the Director with the operation of the department, including P-card, budgeting, revenue collection, web maintenance and direct assistance to students and faculty. Provides additional support to all professional staff within the Testing and Disability Services Office.
Responsibilities- RECORDS & BUDGET:
Maintains records and manages the Disability Services budget, Testing budget, and Revenue account. Reconciles purchases and tracks income, expenditures, and transfers for all three budgets. Prepares and reviews monthly budget reports, notifying the Director of any concerns. Collects testing fees from test-takers and vendors. Prepares both physical and electronic deposits. Processes reimbursements, travel arrangements, membership renewals, and registrations. Makes equipment and supply purchases using the P-card and People Soft for Testing and Disability Services budgets. - SCHEDULING:
Schedules appointments for TDS staff, students, and internal/external departments. Assists with exam scheduling in the Standardized Testing Lab. Coordinates travel and logistical arrangements for departmental activities. Prepares correspondence and other materials for the Director and team. Maintains student and administrative files in accordance with AU standards. - ADMINISTRATIVE DUTIES:
Greets and assists all visitors to the office, providing excellent customer service to students, faculty, and external partners. Responds to phone calls and monitors departmental email accounts; manages inquiries and messages related to disability services and testing. Supports students experiencing challenges that impact their education, helping to identify appropriate solutions or referrals. Ensures the office environment is accessible and welcoming to all. - TRAINING & SUPPORT:
Assists with test proctoring and supervision, maintaining required certifications with specific test vendors. Provides backup support for testing operations as needed. - CREATE, ORGANIZE & MAINTAIN:
Maintains the TDS calendar, including updates to test dates, test registration forms, presentations, and procedure changes. Creates and updates departmental publications such as pamphlets and informational materials in collaboration with AU Media and Communications personnel. - INVENTORY:
Serves as Equipment Inventory Officer and space manager for TDS. Updates records to reflect changes in equipment and departmental space. Ensures relevant staff are trained as backup for equipment and space management responsibilities. - OTHER:
Perform other duties as assigned.
- Associate's degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in administrative support positions, OR High School diploma, GED, or equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.
- Attention to detail.
- Experience in customer service.
Comfortable with accounting practices. Experience in higher education. Proficient in Microsoft Office and other computer software/databases. Excellent interpersonal, written, and verbal communication skills. Detail-oriented with strong prioritization and organizational skills. Ability to maintain confidentiality. Ability to resolve issues for students and faculty in a professional and timely manner. Knowledge of Banner, People Soft, and competence with budgeting and use of P-Card.
