Position Summary
Responsible for the operations of Smart Senior to include the processing of all invoices, recording/posting on all payments for events or membership dues, provides information for budget preparation, researches all budget variances, secures competitive bids on services, develops programming and manages personnel. Ensures that internal auditing process is being followed. Responsible for membership database and membership recruitment/retention/satisfaction. Responsible for a minimum 3 large external special events a year oversees the schedule and performance and responsibilities of SS Program Associate and performs other Smart Senior services as needed.
Must be able to work independently.
Bachelor of Arts - Preferred
Experience3-5 Years Office operations - Required 2-3 Years Coordinating special events, public relations activities or senior services activities - Required Personnel management a plus. Must have 3 years experience in office operations including accounting functions and event planning.

Core Job FunctionsHandles accounts payable and receivables, billing, record keeping, maintains membership data base and makes all deposits. Manages expenses and tracks budget variances for CMO. Prepares submissions for annual operational and/or capital budget. Handles all details associated with major events and other activities offered through the program to include planning, budgeting and contracting with vendors as needed. Oversees any event duties delegated to associate.
Promotes Smart Senior through speaking engagements in the community and through participation in other senior related activities in our area. Monitors all vendor contracts for services to ensure they are still relevant, cost effective. Delegates events and other activities to SS Associate as appropriate. Monitors SS publication produced by Associate. Conducts training on SS office practices. Oversees schedule and evaluates and monitors performance of SS Associate.
Continually works to recruit new members, monitors retention and member satisfaction. Constantly strives to create an exceptional experience.
