Piper Shores is Maine’s only non-profit Continuing Care Retirement Community. We are looking for a detail-oriented finance professional to perform payroll and accounts payable functions. The role also assists the Finance Director and Controller with the day-to-day operations of the Finance Department. This is an on‑site position with strong growth potential and an opportunity to work alongside a team of highly skilled finance professionals in a warm and welcoming environment.
ESSENTIALJOB DUTIES Payroll Duties
- Reviews and maintains employee file information in the time‑clock system. Troubleshoots and processes hours worked data from the system.
- Maintains employee profile such as direct deposit information, PTO changes, and changes in insurance.
- Reviews, summarizes, and inputs payroll information via electronic system.
- Transmits federal and state tax deposits; retirement and/or pension contributions; flexible spending account deductions; and other contributions as necessary.
- Maintains codes for various employment differentials based on position and shift.
- Processes year‑end documents such as W‑2s and 1095s.
- Ensures accuracy of tracking leaves of absence within the time‑keeping system (FMLA, PTO, etc.).
- Maintains and updates 401(k), Roth, and 457(b) plans as necessary.
- Responds to management and employee questions regarding payroll, including assisting employees with accessing online time‑keeping and pay‑stub systems.
- Updates payroll system for tax changes at year‑end.
- Reviews accounts payable invoices for accuracy and inputs data.
- Selects invoices for payment and prepares checks for signature.
- Reconciles vendor statements to ensure proper charges and credits have been recorded.
- Receives, researches, and responds to vendor inquiries regarding accounts payable as needed.
- Processes and prepares accounts payable reports; retains backup and support documents in an organized fashion.
- Participates in initiatives to build technology and efficiency improvements into the accounts payable system.
- Prepares and processes EFTs.
- Maintains vendor profiles for correct sales tax status and ACH information.
- Assists Finance Team members with month‑end close and other accounting functions.
- Associate’s or bachelor’s degree in accounting, finance, or a related field preferred.
- Minimum 2 years of professional experience in payroll processing or accounting required.
- Strong attention to detail and ability to work with large volumes of data.
- Excellent organizational and time‑management skills, with the ability to prioritize tasks.
- Proficient in Microsoft Office and experience with payroll and accounting software.
- Strong problem‑solving skills and the ability to resolve discrepancies efficiently.
- Knowledge of accounts payable processes, general accounting principles, and tax regulations.
- Strong understanding of payroll regulations, tax laws, and labor laws.
- Ability to handle confidential information with discretion.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
