Summary

Provides support for all Information Technology team members and performs purchasing and administrative tasks for all IT Team members. May provide first tier support for routine IT Requests, monitors overdue IT Requests and dispatches support calls if time permits.

Essential Duties and Responsibilities
  • The IT Coordinator serves as the first point of contact for the IT Department and is responsible for fostering a welcoming, professional, and customer-focused environment. This role greets all guests, vendors, and customers entering IT areas and ensures a positive first impression while maintaining a friendly and approachable presence.
  • The IT Coordinator maintains strict confidentiality of all sensitive, proprietary, and regulated information at all times in accordance with organizational policies and regulatory requirements.
  • This position coordinates and supports departmental meetings, including scheduling, preparing agendas, reserving, and setting up meeting spaces (virtual and in-person), and recording, transcribing, and distributing meeting minutes as requested. The IT Coordinator maintains and updates the IT Department calendar to ensure visibility of key activities and deadlines.
  • Meeting minutes and departmental documentation are electronically organized and maintained to ensure accurate recordkeeping and efficient retrieval for audits, reference, and research purposes.
  • The IT Coordinator demonstrates strong organizational, prioritization, and time-management skills to effectively support multiple work streams and competing deadlines. Incoming and outgoing correspondence, including mail, internal memos, reports, and communications, is managed and prioritized based on urgency, importance, and business impact.
  • This role processes purchase orders, invoices, and related documentation for the IT Department using designated financial and procurement systems, ensuring accuracy, compliance, and timely submission.
  • The IT Coordinator ensures all IT customer phone calls, walk‑ups, and emails are addressed in a professional “4‑Diamond” manner. All incidents and service requests are documented through the IT Help Desk system with tickets created for each interaction.
  • Vendor coordination is a key responsibility, including managing IT vendor access, scheduling vendor escorts, and ensuring compliance with site access, security, and safety requirements. Vendors contact information, contracts, and related records are maintained and kept current.
  • The IT Coordinator performs follow‑up outreach on a defined percentage of closed IT Help Desk tickets to validate resolution quality and customer satisfaction and adheres to all documented Service Level Agreements (SLAs).
  • This role actively identifies and recommends opportunities for continuous improvement related to tools, processes, procedures, installations, configurations, and troubleshooting techniques.
  • The IT Coordinator may be asked to answer technical support calls and, when appropriate, assists with routine support requests, ensuring all work is properly documented in the IT Help Desk system as time permits.
  • A working knowledge of IT department policies, procedures, and regulatory guidelines is maintained to ensure alignment with enterprise standards and compliance requirements.
  • The IT Coordinator stays current with departmental communications, including email, system alerts, IT request systems, voicemail, and mobile or radio communications, with sufficient frequency to perform duties effectively.
  • Department communication boards and postings are updated and maintained to ensure information is current, accurate, and accessible to Team Members and visitors.
