About the Role

Vault Strategies is seeking an experienced, hands-on Zoho specialist to manage and continuously improve our business systems and workflows.

This is more than a system administration role. We need someone who understands business operations, identifies inefficiencies, and uses Zoho to automate processes, improve accountability, and make our company more efficient.

We're looking for a proactive problem-solver who can independently design, build, and maintain solutions—not someone who simply waits for requests.

Key Responsibilities

• Administer, configure, and optimize our Zoho environment.
• Build and maintain workflows, automations, dashboards, reports, and integrations.
• Partner with department leaders to identify process improvement opportunities.
• Eliminate manual work, streamline operations, and improve cross-department workflows.
• Create and maintain department-level dashboards.
• Monitor internal usage and adoption.
• Produce weekly, monthly, and quarterly reports for executive leadership.
• Troubleshoot system issues, maintain data integrity, and support users.
• Create documentation and train users on systems and processes.
• Maintain an improvement backlog and release enhancements to the company in sprints.
• Recommend and implement improvements as the business grows.
• Measure the effectiveness of implemented solutions.

Required Qualifications

• 3+ years of hands-on professional Zoho experience — REQUIRED.
• Experience with Zoho CRM and multiple Zoho applications, preferably Zoho One.
• Experience building workflows, automations, custom modules, and reports.
• Working knowledge of Deluge scripting, Zoho Flow, Creator, and integrations.
• Strong business process analysis and problem-solving skills.
• Ability to independently build and maintain Zoho solutions.
• Excellent communication skills and a proactive, ownership-driven mindset.

Hiring Process

Candidates must have prior professional Zoho experience. Experience with other CRM platforms alone does not qualify.

Finalists will complete a practical Zoho test project before an offer is extended to demonstrate their technical competency and problem-solving abilities.
