Administrative Assistant
Job Description:
Responsible for providing administrative support for CPA firm, including client interactions (phone, email, and in person), management of client records, client deliverables, and other various administrative functions within the office.
Looking for a self-starting, organized individual with excellent telephone, customer service, communication, and computer skills. The ability to multitask and pay attention to detail is important. Knowledge of tax software and/or Quick Books is a plus.
Key Responsibilities- Answering, screening, and directing calls, managing emails, greeting visitors, and handling correspondence.
- Schedule appointments and maintain calendars for the CPA team (software: Outlook, Zoom, and Teams).
- Oversee tax return processing within our workflow management and status tracking system (Canopy).
- Prepare and organize documents for client meetings and tax filings.
- Handle incoming and outgoing correspondence, including emails and mail.
- Support the team with administrative tasks, such as filing, copying, and scanning documents.
- Perform data entry, manage databases, process invoices, and expense reports.
- 3 years of experience in an administrative or office management position, preferably in an accounting, law, or medical setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required, and familiarity with accounting software is preferred.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to prioritize tasks and work effectively in a fast‑paced environment.
- Must be able to conduct client interactions in a professional manner.
