This role is critical to maintaining the firm’s financial health, ensuring compliance, and providing accurate financial reports.

Maintain accurate and up-to-date financial records, including general ledger, accounts payable, accounts receivable, and payroll transactions.
  • Trust Accounting (IOLTA/Trust):
Manage and reconcile client trust accounts (IOLTA) in strict compliance with Washington State bar regulations. Ensure proper segregation of client funds and accurate tracking of client retainers and disbursements.
  • Billing and Collections:
Generate and process client invoices (bills) using the firm's legal billing software (Juris), track accounts receivable, and assist with collections efforts as needed.
  • Accounts Payable:
Process, verify, and pay vendor invoices, expense reports, and firm operating expenses in a timely manner.
  • Bank Reconciliations:
Perform monthly reconciliation of all operating and trust bank accounts.
  • Payroll:
Process bi-monthly payroll, manage employee benefits deductions, and ensure compliance with all federal and state payroll tax requirements in coordination with an external payroll service.
  • Financial Reporting:
Generate monthly, quarterly, and annual financial statements (P&L, Balance Sheet) and custom reports for firm management.
  • Expense Management:
Monitor and track firm operating expenses, suggesting cost-saving measures when appropriate.
  • Compliance & Audit:
Assist with year-end financial closing, preparation for tax filings (working with external CPA), and internal/external audits.
  • Software Management:
Maintain proficiency in and manage the firm’s accounting and billing software (Juris).
  • Maintaining a professional and positive firm work environment by facilitating effective communication and information sharing among professional, paraprofessional management, and support staff.
  • Work closely with the Administrative Staff to coordinate office management tasks and ensure operational needs are met.
  • Manage facilities management and vendor coordination (tech support, legal research, firm management software, and malpractice insurance).
