Accounts Payable Specialist

Description We are looking for an Accounts Payable Specialist to support day-to-day payables operations for a long-term contract opportunity based in Seattle, Washington. This role is suited to someone who can manage high-volume invoice activity, maintain accurate financial records, and work closely with internal teams and vendors to keep payment processes moving smoothly. The ideal candidate brings strong attention to detail, sound knowledge of accounts payable practices, and the ability to stay organized in a fast-paced environment.

Responsibilities:

- Manage the end-to-end handling of vendor invoices, vouchers, payment requests, and intercompany transactions with a high level of accuracy and timeliness.

- Review purchase orders against invoices and receipt records, resolve discrepancies, and identify opportunities to improve accounts payable workflow effectiveness.

- Prepare and circulate recurring status updates on invoices and purchase orders to project and operations stakeholders.

- Examine employee expense submissions, check requests, tax-related payments, and union-related items to ensure proper review and processing.

- Maintain supplier master data, reconcile aging and vendor account balances, and respond to inquiries from vendors and internal partners to resolve payment issues.

- Process and reconcile corporate card activity while preserving documentation needed for audits and financial reporting support.

- Record and verify disbursements, rebates, discounts, and other incoming or outgoing fund activity in the accounting system to ensure complete and accurate records.

- Enter and adjust cost transactions, oversee recurring entries, support 1099 documentation including W-9 tracking, and assist with month-end tasks, training, and special projects as needed. Requirements - Demonstrated experience in accounts payable with a solid understanding of invoice processing, payment controls, and account reconciliation.

- Hands-on ability with account coding, coding invoices, ACH payments, and check run processing.

- Strong analytical thinking, problem-solving ability, and careful attention to detail in a deadline-driven setting.

- Effective communication skills and a collaborative approach when working with vendors, project teams, and internal stakeholders.

- Proficiency with Microsoft Excel, Word, and Outlook, along with experience using automated invoice processing tools.

- Familiarity with accounting and AP platforms such as CMiC, Sage 100, or similar systems; construction industry experience is preferred.

- Ability to manage multiple priorities in a fast-paced environment without sacrificing accuracy or service quality.
