Purpose and Position Summary

The Equity and Justice Sr. Program Coordinator supports the Equity and Justice Team within the Office of Executive Director, providing administrative and programmatic support.

Primary

Job Duties and Responsibilities
  • Entity Administrative Support
    • Draft, finalize, post, and archive meeting minutes; prepare and distribute meeting materials; post on relevant websites.
    • Coordinate meeting scheduling; manage calendar polls, Zoom rooms, in‑person spaces; arrange catering and room set‑up if needed.
    • Track attendance, send invitations, and ensure quorum.
    • Assist volunteers with SharePoint access and other tech tools.
    • Process volunteer expense reimbursements and invoices for entity‑related activities.
    • Send communications to promote the entity and recruit new members.
    • Support selection and appointment of new members, preparing application materials, tracking decisions, drafting communications and appointment documents.
    • Collect data and conduct research for annual reports as needed.
    • Provide other entity‑related administrative support as directed by the Equity and Justice Team.
    • Provide event support to entities planning events.
  • Event Administrative Support
    • Assist with event planning and execution, including venue research, contract facilitation, and coordination with WSBA staff and external vendors.
    • Coordinate room set‑up, A/V, hybrid needs, catering, furniture, linen rentals, and supplies such as name tags and signage.
    • Ensure events are accessible to all attendees, managing accommodation requests and proactive accessibility measures.
    • Collaborate with communications for event promotion.
    • Support attendees with questions and accommodations.
    • Prepare event materials; coordinate day‑of details, post‑event evaluations, and follow‑up.
  • Equity and Justice Operations and Administrative Support
    • Manage database and member information.
    • Process reimbursements, invoices, and payments through WSBA’s system.
    • Facilitate contract approval via the Contract Management System.
    • Assist with creation and administration of team tools and procedures.
    • Field phone calls, monitor program email inboxes, and respond to inquiries.
    • Maintain and update Equity and Justice Team Blink pages.
    • Provide administrative support to the Chief Equity and Justice Officer.
  • Program Administrative Support and Communications
    • Support research and ordering of supplies, marketing/outreach, data tabulation.
    • Implement website updates for programs such as Pro Bono and Public Service Committee.
    • Administer pro bono recognition activities, collect data, create certificates, and publish honors.
    • Administer Qualified Legal Services Provider application review and decision communication.
    • Authenticate member requests for public service CLE access.
    • Other duties as assigned.
Education Required

High School Diploma or GED.

Education Preferred

College degree (Associate or Bachelor).

Experience Required
  • Minimum of two years in a mission‑driven organizational environment, including work with volunteer boards/committees and legal professionals.
  • Event‑planning experience.
Experience Preferred
  • Familiarity with Washington State equity and justice community.
