Field Service Specialist
Reports To:
Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.
The Field Service Specialist/Mailroom Specialist delivers exceptional office and mail services in a floating capacity. This role supports regular employees who are out of the office or provides additional coverage for special projects across client sites. Responsibilities include mail handling, reception, hospitality, facilities support, copy/print services, conference room setup, and other office duties as assigned.
Key Responsibilities- Provide 5‑star customer service to all employees and visitors.
- Answer calls and manage visitor communication.
- Assist with light facilities duties, including ticketing systems and supply orders.
- Receive, sort, and input inbound mail/packages into chain‑of‑custody software.
- Manage outgoing mail/package transactions and shipping/receiving duties.
- Notify staff of inbound deliveries and distribute mail/packages to personnel.
- Support office moves and copy/print orders, monitoring equipment functionality.
- Set up or take down conference rooms for meetings and events.
- Seek additional work during downtime to support team needs.
- Build professional relationships and maintain composure when interacting with all employees.
- Train and guide backup staff on policies and procedures.
- Handle sensitive inquiries with appropriate discretion.
- Provide reception or concierge coverage when required.
- Strong verbal and written communication skills.
- Excellent customer service orientation.
- Proficiency with MS Office Suite and basic PC operations.
- Ability to multitask efficiently.
- Organizational and time‑management skills.
- Working knowledge of MFD equipment.
- Understanding of shipping/receiving procedures.
- Independent work capability and project completion.
- Appropriate packaging knowledge and slip validation.
- Flexibility with work schedule and hours.
- High School Diploma or equivalent required.
- Minimum 6 months of prior work experience preferred.
- Ability to honor assigned work hours.
- Excellent organizational and time‑management skills.
- Analytical and problem‑solving aptitude.
- Superb written and verbal communication skills.
- Current or quickly learnable computer‑based system proficiency.
- Professional appearance and attitude at all times.
- Adherence to all company policies and procedures.
- Approximately 50% of the time involving fine or gross motor skills for lifting or moving packages up to 60 lb.
- Walking, bending, kneeling, standing, and sitting for extended periods.
- Manual dexterity required for operating office machinery (phone, copy machines, binding equipment).
- Frequent lifting or moving of 40 lb or greater.
