The Archbishop is the visible principle and foundation of unity in the particular Church entrusted to him. In a unique and visible way, he makes Christ’s mission present and enduring as Shepherd of the Christian Community. In order to fulfill his mission, the Archbishop employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them the apostolic mission and entrusts various responsibilities to them.

Each position employed in the Chancery helps to extend the ministry of the Archbishop in particular ways as outlined in the position description.

Professional Development Coordinator for Teachers and Staff

General Purpose of Essential Duties:
The general purpose of this position is to support the overall mission and daily operations of the Office for Catholic Schools. In particular, the Coordinator ensures an effective and well-organized work environment for the Assistant Superintendent for Academic Excellence and the Director of Early Childhood Education, while also providing administrative, logistical, and secretarial support to the entire OCS team.

Essential Position Duties
  • Support planning, implementation, and evaluation of professional development programs for teachers and staff.
  • Coordinate logistics for events, meetings, and committees, including vendor relationships, registration, clock-hour documentation, and budget tracking.
  • Manage payments for events and services, ensuring accuracy and timely processing; maintain digital records and reconcile with finance team.
  • Coordinate with University Partners, the Fulcrum Foundation, and contracted providers to align schedules, contracts, and deliverables; maintain partnership documentation and support collaborative initiatives.
  • Prepare and distribute meeting agendas and minutes promptly; maintain organized digital archives and follow up on action items.
  • Manage event communications, agendas, and timelines; oversee on-site logistics such as facilities, food, and parking.
  • Maintain accurate digital records and use spreadsheets for tracking budgets and timelines.
  • Attend and assist with all professional development events, including setup and takedown.
Accreditation sERVICES

General Purpose of Essential Duties:
The Coordinator will assume responsibility for supporting the coordination of accreditation activities for schools in the archdiocese and, where needed, accreditation chairs from the Archdiocese of Seattle being sent serve in other arch/dioceses.

Essential Position Duties
  • Provide administrative and logistical support to the Assistant Superintendent of Academic Excellence, including:
    • Screening phone calls and routing inquiries appropriately.
    • Scheduling and managing appointments for accreditation-related meetings and visits.
    • Ensuring clarity of presentations and preparing materials for meetings and events.
    • Collecting receipts and processing check requests as needed.
  • Support school leadership teams during accreditation kickoff meetings, including distributing agendas, tracking timelines, securing meeting rooms, and managing sign-in forms for clock hours.
  • Assist in creating visiting teams and scheduling pre-visits and site visits for schools requiring accreditation.
  • Coordinate and prepare gifts for accreditation team members.
  • Collect and archive all accreditation documents (digital and paper), including Self-Study reports, findings, and executive summaries.
  • Collect annual progress reports from all schools.
  • Provide other services as needed.
Qualifications
  • Willingness and ability to support the mission of the Church by extending the ministry of the Archbishop.
  • Ability and desire to use God-given gifts and talents in service of the local Church in support of the collaboration between lay and ordained Ministers.
Education and Experience
  • Associate degree or higher preferred; equivalent professional experience will be considered.
  • 2–4 years of administrative or office coordination experience, ideally in education or nonprofit settings.
Technical Skills
  • Proficiency in Microsoft Office Suite, with advanced skills in Excel (data tracking, reporting, and budgeting).
