Description
The Office of the Secretary of State (OSOS) offers unique and diverse job opportunities in state government, including ensuring fair elections, connecting Washingtonians through libraries, protecting government records, and registering corporations and charities. The Secretary of State administers community programs that inspire giving, document history, and support crime survivors. OSOS operates out of facilities in the Olympia area and statewide.
DutiesFacilitates outreach, development and marketing activities for Archives, Library, Legacy and WTBBL and the ALL Foundation.
- Orchestrates the update of the annual report of the ALL Foundation through collaboration with programs, staff, and Board.
- Collaborates in the facilitation of marketing and outreach campaigns for WTBBL, WSL, Archives, Legacy Washington and the ALL Foundation.
- Works with the ALL Foundation Administrator, Board, program leadership and external stakeholders to establish program standards and identify development opportunities.
- Updates and implements high‑quality design of creative materials in print and electronic formats, including brochures and collateral for WTBBL.
- Updates and maintains the ALL Foundation website and social media channels.
- Maintains mailing distribution list and executes communications as requested by the Administrator.
- Organizes and facilitates outreach and fundraising events and presentations for the programs and Foundation.
- Deposits all monies received by the Foundation, enters transactions in Quick Books, processes credit card and recurring donations, and prepares entries for monthly reconciliations.
- Creates invoices for Legacy Washington customers and tracks accounts receivable.
- Manages and reconciles inventory of print and e‑books, including sales, and performs weekly reconciliation reports using donor database and accounting software.
- Communicates with donors and stakeholders regarding inquiries, concerns, and donation procedures.
- Orchestrates quarterly Board meetings and bimonthly Finance and other committee meetings of the ALL Foundation Board of Directors.
- In collaboration with the Administrator, arranges meetings and retreats for the ALL Foundation and records minutes for approval.
- Other duties as assigned.
Required Qualifications:
- Two years of experience providing support to staff or a program, including graphic design, client representation, public interaction, correspondence, scheduling, or event coordination.
- Proficiency with a personal computer and applicable software to perform job functions.
Preferred/Desired
Qualifications:
- Bachelor’s degree in political science, history, business administration, public relations, communications, education, or a related field.
- Experience with PowerPoint, Publisher, InDesign, and Photoshop for advanced presentations and materials.
- Development and/or marketing experience.
- Event planning, coordination, and management experience.
- Experience working with relational databases.
- Experience editing web page copy and working with hyperlinks.
Working Conditions:
Works primarily in an office environment with a standard laptop. Standard core business hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., with the possibility of evenings and weekends to support events. Some statewide travel may be required. Incumbent must be able to maneuver objects weighing 40 pounds.
Special Notes: This position receives an additional 5% geographic assignment pay for being located within King County.
Special Requirements- This position is in a bargaining unit represented by the Washington Federation of State Employees (WFSE) and is subject to the terms of the Collective Bargaining Agreement between the State of Washington, The Office of the Secretary of State, and the WFSE.
