Position: Office Assistant 3 - Special Needs Unit - Seattle

Office Assistant 3 (OA3) – Community Corrections Division

Office Assistant (OA3) is a full‑time, non‑permanent position located at the Seattle Community Justice Center, 1550 4th Ave South, Seattle, WA 98134. The role supports the Special Needs Unit (SNU) and provides general clerical assistance to the unit, Administrative Assistant 3 (AA3), Community Corrections Supervisor (CCS), and Community Corrections Officers (CCOs). Work hours are Monday‑Friday, 8:00 am to 5:00 pm.

Responsibilities
  • Greet and direct clients, general public, and stakeholders.
  • Manage a multi‑line phone system and incoming/outgoing mail.
  • Cover the reception desk as needed and ensure entry doors are opened at 8:00 am and locked at 5:00 pm.
  • Perform database entry and retrieval from systems such as OMNI and OnBase.
  • Assist with managing, tracking, and archiving PSI and field files.
  • Assist with ordering and stocking office supplies.
  • Complete any assigned duties as directed.
Required Qualifications
  • High school diploma or GED equivalent.
  • Minimum six months of clerical and/or customer service experience.
  • Basic proficiency with Microsoft Office (Outlook, Word, Excel).
  • Unrestricted valid driver’s licence in Washington.
Skills and Abilities
  • Maintain reliable attendance.
  • Respect and maintain confidentiality.
  • Assist individuals with varied criminal backgrounds.
  • Navigate internal and external databases.
  • Proofread written materials accurately.
  • Communicate clearly with staff, supervisors, public and stakeholders.
Desirable Qualifications
  • Two years of clerical experience and advanced Microsoft Office skills.
