The University of Washington Botanic Gardens (UWBG) seeks a Part-Time, Temporary Facilities Coordinator to support the activities of a vibrant botanical garden.
Reporting to the UWBG Associate Director and Curator, this role will collaborate with multiple UWBG teams, University units, and external partner organizations to coordinate all building and facilities needs.
The UWBG Facilities Coordinator is responsible for managing multiple building spaces at both the Center for Urban Horticulture (CUH) and the Washington Park Arboretum (WPA). This role coordinates with UW Facilities and Seattle Parks and Recreation to request repairs and maintenance work and ensure a safe working environment.
Successful applicants will be able to communicate clearly and work patiently and productively in a diverse setting with staff, faculty, students, and the public. This role requires schedule flexibility and the ability to take initiative and work independently. Strong candidates will be able to prioritize while managing multiple activities and have robust organizational and investigative skills to manage and follow up on work for all building spaces.
This role is expected to contribute to a service-oriented, collaborative culture and remain calm and effective in high pressure and emergency situations.
- Serve as the key contact and building coordinator for buildings at the Center for Urban Horticulture and the Washington Park Arboretum, providing 24/7 on-call support for all building issues as needed.
- Coordinate facilities needs for multiple buildings in compliance with organizational policies, Environmental Health & Safety (EH&S) guidelines and municipal fire codes. This includes Merrill Hall, NHS Hall, Isaacson Hall, Douglas Research Conservatory, and associated outbuildings at the Center for Urban Horticulture and greenhouses, historic caretakers’ cottage, and associated buildings at the Washington Park Arboretum, both locations located on or near the UW Seattle Campus.
- Maintain day-to-day operations of facilities, parking lots, and grounds in coordination with horticulture staff, including tracking maintenance requests, submitting work orders, scheduling routine and emergency maintenance and repairs with outside vendors as needed.
- Hire/supervise outside contractors for Arboretum buildings including janitorial, pest control, etc.
- Coordinate with UW School for Environment & Forest Sciences Building Coordinator, UW Facilities, UW IT, and Seattle Parks and Recreations Dept for reporting and repair of all building maintenance issues, including HVAC, electrical, roofing, plumbing, security, and alarm systems.
- Manage all reporting requirements for facilities maintenance. Ensure compliance with federal ADA guidelines.
- Manage communications with building occupants regarding maintenance, repairs, and safety issues.
- Participate in the CUH Space and Office Committee; coordinate space assignment and space utilization for offices and work areas including moving/relocation, furniture, equipment, telephones, computers, physical plant, vendors, and other necessary parties.
- Manage building access including maintaining the key database, managing key distributions, assignments and deposits; loaning out keys as needed to UW Facilities technicians, visitors, and maintaining the CAAMS exterior lock database at CUH.
- Serve as the emergency contact for UW Police Department, Seattle Police Department, and City of Seattle Fire Department; respond to all emergencies and provide after-hours support as needed.
- Serve as the fire safety representative; schedule and coordinate evacuation and earthquake drills; manage safety plans and evacuation maps and distribute to building occupants; offer training where necessary. Coordinate with Seattle Fire Department Permit office to arrange for site visits, inspections and bill payments.
- Monitor compliance with UW Environmental Health & Safety and related offices on all safety-related policies procedures.
- Serve as a member of partner Safety Committees as needed, sharing knowledge and distributing information to building occupants.
