Position OverviewThe Administrative Assistant to the Board of Directors is a key organizational and operational support professional who reports directly to the Board President and ensures effective administrative support to the Board of Directors and its operations, including but not limited to Board meetings, Committee meetings, official records, communications, and related governance activities, in support of the FAME Housing Association’s mission and vision.
This is a non-exempt position subject to all applicable federal, Washington State, and local wage‑and‑hour laws.
The position requires the individual to be located within King County, Washington (Martin Luther King Jr. County). The role requires a minimum commitment of ten (10) hours per month, including one monthly board meeting, one monthly Executive Committee meeting, and one monthly finance meeting.
NOTE- The position requires attendance at all Board and committee meetings, whether conducted virtually or in person. The final month of each calendar quarter includes a mandatory in‑person Board meeting, and attendance at such meetings is a required condition of the role.
- Special meetings of the Board of Directors may be convened from time to time. Such meetings are not part of the regular meeting schedule and should occur only as authorized and conducted in accordance with the Association’s By‑Laws.
- Be available to attend the Board’s Annual Meeting, and any occasional training, retreats, and relevant governance‑related events.
- Hours may fluctuate month to month depending on Board needs. Any hours worked beyond ten (10) hours per month must receive prior approval from the Board President.
Compensation for this position ranges from $30.00 to $35.00 per hour. Eligibility for any wage increase or adjustment is subject to a successful annual performance review, demonstrated performance, available funding, and approval by the Board of Directors, and does not constitute a guarantee of future compensation increases.
This is a part‑time, non‑exempt position that is not eligible for benefits, including health, dental, vision, retirement, paid holidays, or paid leave, except as required by applicable law. Eligibility for benefits may be modified only by formal action from the Board of Directors.
Primary ResponsibilitiesMeeting Coordination & Governance Support: Organize, schedule, and provide administrative support for all Board, committee, and special meetings. Manage Board calendars and scheduling to support effective time management and alignment with strategic priorities. In coordination with the Board President, prepare and distribute meeting materials, including agendas, briefing materials, presentations, and post‑meeting follow‑ups. Ensure Board members receive materials in advance and are adequately prepared for meetings.
Work collaboratively with the Board Secretary to track attendance, confirm quorum, and ensure adherence to governance timelines and procedural requirements.
Documentation & Records Management: Assist with administrative tasks and collaborate with the Board Secretary on meeting minutes, official documentation, and records archiving. Maintain accurate, organized, and secure Board and committee records in accordance with records‑retention requirements. Working with the Secretary to ensure the timely distribution of pre‑ and post‑meeting materials, including approved minutes and resolutions.
Policy Oversight & Compliance: Provide administrative support for the review, maintenance, and periodic updating of Board policies, procedures, and governance documents. Document governance actions and maintain an up‑to‑date Board policy library. File bylaws, amendments, and required governance documents with the State of Washington as directed. Maintain a compliance, reporting, and governance calendar.
Research & Analytical Support: Stay abreast of housing trends, nonprofit governance standards, regulatory requirements, and community needs relevant to the Association’s mission. Track Board initiatives and projects to support…
