The Special Events Coordinator supports the execution of all special events for the 2025 Seattle International Film Festival, ensuring proper documentation, supply inventory, and volunteer management.

Compensation: $23 an hour
Roles & Responsibilities
- Recruit, schedule, and manage volunteers for general event duties and specialized teams via Shiftboard
- Draft and edit event invites, ensuring accurate and up‑to‑date information
- Execute event set‑up/strike of all special events, including parties, galas, filmmaker dinners, happy hours, etc.
- Work with the Festival Operations team to create inventory distribution plans for each event and then coordinate with the Production Manager to execute plans
- Supervise event check‑in at appropriate events
- Assist in overseeing sponsor presence fulfillment
- Work with suppliers and venue contacts to schedule and coordinate deliveries and pick‑ups of various products and supplies as needed
- Maintain organized and inventoried event storage spaces pre, during, and post Festival
- Support Special Events, Production, and Operations teams with various projects as needed
- Provide in‑depth procedures documentation, event recap reports, and wrap reports by scheduled due date
- Maintain general awareness of Washington liquor and cannabis laws
- Other duties as assigned
- 2‑3 years experience in coordinating events or festivals required
- 2‑3 years volunteer and/or staff management experience strongly preferred
- 1‑2 years experience using Shiftboard preferred
- 1‑2 years experience in G Suite required
- Must have a valid driver’s license and clean driving record
- Must be at least 21 years of age
- Ability to stand for extended periods of time
- Ability to lift at least 50 lbs
- Excellent customer service skills
- Ability to perform well in stressful situations
- Ability to stay focused and ensure completion of tasks
- Ability to lead and motivate a diverse and changing/rotating team
- Ability to ensure a pleasant patron, volunteer, and staff experience
- Excellent attention to detail
- Excellent communication skills, both verbal and written
- This is a full‑time FLSA overtime non‑exempt position
- Access to WA State Sick Leave accrual
- Access to discounts and passes to some SIFF programming and events hosted by neighboring Arts organizations
- This position is not eligible for health benefits, housing, nor paid company holidays
