Town Hall Seattle seeks a Patron Services & Volunteer Coordinator to oversee Town Hall’s patron service and on‑site box office logistics. The ideal candidate will develop a familiarity with and passion for Town Hall’s mission and programs to act as a friendly and effective advocate for the organization.

The Patron Services & Volunteer Coordinator is responsible for processing ticket orders, managing box office logistics, providing high‑quality customer service to patrons, coordinating communication between departments regarding patron needs and concerns, conducting group sales, and managing Town Hall’s production volunteers. This position also trains the part‑time Patron Services Associates (PSAs).

As the first line of contact for Town Hall’s patrons and the general public, the Patron Services & Volunteer Coordinator serves as an ambassador for the organization and its continued growth, development, and success. This position reports to the Production Manager and works closely with the Production Team.

Status

Position is part‑time, non‑exempt (32 hours/week); ability to work flexible hours; evenings and weekends required, as dictated by the event calendar. This role requires management of on‑site events on evenings and weekends, averaging 4 nights/week.

Location

Town Hall is a hybrid workplace, with this role requiring significant in‑person responsibilities. Town Hall administrative staff currently work in the office 2‑3 days per week. Our office is located at 720 Seneca St, and our venue is located at 1119 8th Ave.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
  • Manage the day‑to‑day activities of the on‑site box office, including daily sales and accessibility requests.
  • Manage box office phone line and email, includes processing ticket transactions by phone.
  • Run box office for the majority of Town Hall‑produced events throughout the season and provide back‑up coverage for PSAs as needed.
  • Provide excellent customer service; lead by example at all times and respond promptly to customer inquiries and requests.
  • Act as tech support for patrons accessing digital/livestream events.
  • Train the Patron Services Associates, in collaboration with the Production Manager.
  • Develop and implement systems and tools as necessary to facilitate accurate and clear two‑way communication between full‑time and part‑time production staff.
  • Support evaluation of staff performance.
  • Initiate in‑building accessibility efforts, ensuring excellent service for patrons with mobility needs. Serve as the first point of contact for accessibility requests. Assist members of the public with special needs, including early and reserved seating for mobility‑impaired persons.
  • Assume crowd control and/or evacuation responsibility during emergencies in consultation with the House Manager and building staff.
  • Maintain box office hardware, operating systems, and cash handling procedures.
  • Complete all box office reports, deposits, and paperwork.
  • Other duties as assigned.
  • Send out monthly (and as needed) email communication with shift information, policy changes, and organizational updates.
  • Schedule volunteers for shifts and work with Event Managers to determine needs.
  • Provide orientations with new applicants, train production volunteers, and keep the handbook up‑to‑date.
Admin & Ticketing Support
  • Attend weekly Production Team meetings, select cross‑departmental meetings, and regular 1:1 check‑ins with the Ticketing & Database Manager.
  • Working with Ticketing & Database Manager, provide backup coverage for ticketing operations including ticketing system oversight, maintenance, and troubleshooting.
  • Build and maintain events on ticketing platform.
  • Share ticketing updates to PS staff.
  • Help maintain ticketing documentation and troubleshoot platform or hardware issues.
  • Update training materials on Box Office policies and procedures.
QUALIFICATIONS
  • Minimum one year of experience in theater, event production, non‑profit arts, or related fields.
