Key Responsibilities- Serve as the main point of contact for creative contractors, vendors, and freelancers.
- Draft, review, and route contracts, work orders, and NDAs in collaboration with Creative, Operations, and other stakeholders.
- Manage the full contract lifecycle: prepare, submit for approval, execute via Docu Sign, archive in SharePoint, and track key terms and renewal dates.
- Onboard all new vendors and contractors by collecting required documentation and entering information into internal systems.
- Track and report on vendor performance, contract timelines, and outstanding deliverables.
- Review invoices for accuracy against contracts and work orders; resolve discrepancies before approving payment.
- Code and process invoices through AFI, monitor payment status, and communicate updates to vendors.
- Work with Finance to track creative spending across Disney Lorcana; maintain shared budget trackers and monthly spend dashboards.
- Work with Finance to generate spend reports and forecasts for the Creative Director and Senior Project Manager.
- Maintain a clearly organized digital filing system across SharePoint to ensure version control and accessibility of contracts, invoices, and related files.
- Streamline workflows and templates in Wrike to support intake, tracking, and cross‑functional visibility.
- Develop SOPs, intake forms, and internal documentation for contract and vendor‑related processes.
- Partner with Project Management to ensure vendor timelines align with production schedules and creative milestones.
- Serve as the administrative liaison between Creative, Legal, Finance, Licensing, Operations, and any additional teams as required.
- Troubleshoot vendor and contractor issues related to onboarding, contracts, or payments.
- Attend Creative meetings as assigned and/or invited; provide visibility to multiple Creative teams, including Artist Management, as well as additional Disney Lorcana teams as directed by the Head of Operations.
- 3–5 years of experience in contract administration, vendor coordination, or creative operations—ideally in entertainment, gaming, or publishing.
- Strong organizational and documentation skills with high attention to detail.
- Clear and professional communication skills, including follow‑through and accountability in distributed teams.
- Experience with:
- Microsoft Office 365 (Excel, Word, Teams, Outlook)
- Docu Sign
- SharePoint & Dropbox
- Wrike or similar project management tools
- Lever (for contractor onboarding, preferred)
- Budget tracking and invoice coding (experience with AFI or similar tools is a plus)
- Comfort with hybrid and remote workflows across global teams.
- Language:
- English – required
- German – a plus
