About the Position
The Annual Fund Officer is responsible for the strategy, creation, implementation, and fundraising goals related to the Annual Fund. This position also uses data to drive and support all individual giving strategies, oversees annual giving—including direct mail, digital fundraising, and donor acquisition campaigns—and manages internal strategies for fundraising operations, including prospect research, donor database management, and gift processing and reporting.

Essential Duties and Responsibilities Annual Fund- Lead, develop, and implement the Annual Fund fundraising plan.
- Implement targeted donor campaigns, including digital and direct mail appeals, special giving days, and acquisition; serve as primary liaison to Annual Fund contract vendors.
- Meet or exceed Annual Fund fundraising goals annually.
- Analyze data regarding annual giving programs and past giving trends to inform future segmentation, engagement, and strategy.
- Improve donor retention and reengage lapsed donors.
- Manage the monthly giving program, increasing enrollment and renewals.
- Act as the first point of contact in the Philanthropy department for inquiries from financial supporters and contact donors about donations when necessary.
- Oversee the accuracy and reporting requirements related to gift processing, including acknowledgement letters, donor receipts, and data entry.
- Research and analyze donor trends to make strategic and continuous improvement recommendations.
- Help support timely processing of mail, filing, correspondence, and messages.
- Write donor correspondence and solicitation materials.
- Work in collaboration with Philanthropy, Marketing, and Communications leadership to develop comprehensive messaging across all campaign and annual giving collateral.
- Coordinate donor recognition activities, campaign record management, and gift processing.
- Evaluate and assess ROI for each giving and make strategy recommendations to maximize outcomes.
- Assist with special events and meetings, especially when engaging Annual Fund donors.
- Oversee the use, policy, and procedures related to the Philanthropy Department Customer Relationship Management (CRM) Donor Perfect Online.
- Lead prospect research and collaborate on data‑driven donor cultivation strategies.
- Partner with the major gift team to define donor engagement strategy and annual and campaign fundraising goals.
- Facilitate data requests from both the Philanthropy department and other internal work groups.
- Create and analyze daily, weekly, monthly, and yearly reports of annual giving progress toward revenue goals, including metrics of donor base analysis, segmentation, and return on investment.
- Serve as project manager for the CRM system.
- Ensure data accuracy by creating reports and balancing gift records with internal departments (Accounting).
- Maintain and update the CRM procedures and policies user manual in collaboration with the Philanthropy Database Analyst.
- Maintain the highest level of confidentiality related to partner information.
- Perform other duties as assigned.

Education and Experience- Bachelor’s degree or equivalent experience and/or demonstrated success in fundraising.
- Minimum 3 years of fundraising and CRM experience and 1 year of managing staff and/or volunteers or interns.
- Understands and deploys advancement services and prospect research best practices.
- Knowledge of fundraising and the non‑profit sector.
- Believes in and adheres to the Association of Fundraising Professionals’ Code of Ethical Principles and Standards.
- Editing and proofreading skills.
- Ability to work effectively with others in a team‑oriented, fast‑paced environment.
- Experience in data queries and manipulation.
- Experience with CRM software, preferably Donor Perfect.
- Skilled proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook, Teams).
- Ability to type 50 WPM.
- Ability to learn new technology and software as related to the job.
