Job Summary
This position provides for the efficient operation and organization of the front office and support to the Human Resource Department. Decisions are made within established guidelines, with readily available supervision.

Responsibilities
  • Receptionist:
    Manage front desk and ensure a positive and efficient first on-site experience for visitors; open switchboard at 8:00 a.m. and operate through the day (except during lunch and breaks).
  • Answer telephones, direct calls to appropriate associates, and transfer to voice mail when needed; take and retrieve messages.
  • Ensure visitors comply with building security and GMP policies; maintain visitor log book and provide information (address, directions, fax, website, etc.).
  • Maintain business phone use as appropriate; refer personal calls to personal phones outside of working hours unless an emergency.
  • Administrative Assistant:
    Sort, distribute, and process mail; manage postage; organize mail slots; maintain office supplies inventory and procurement; liaison with suppliers within budget guidelines; maintain Reception Procedures Manual; route faxes; maintain staff contact lists; support SQF program implementation; provide backup support to Customer & Procurement Manager and Plant Manager as needed.
  • Human Resources Department:
    Provide support to HR in various duties; act as Safety Committee secretary; post safety minutes, coordinate audits, and track action logs; assist with recruiting as requested; keep HR filing current; type miscellaneous correspondence and policies as requested.
  • Accounting Department:
    Provide project and ongoing support; assist with accounts payable/receivable processes, enter daily data in Excel, and support general accounting tasks as directed by the Controller.
Knowledge, Skills & Abilities
  • Strong organizational and problem-solving skills; well-developed interpersonal, verbal, and written communication skills.
  • Excellent phone etiquette and practical working knowledge of MS Office Suite; accuracy in data entry; attention to detail.
  • Committed to continuous improvement; personally invested in the success of the business; able to work independently or with direction as needed.
  • bilingual English/Spanish preferred.
Training & Experience
  • Education:

    AA Degree required; minimum 3 years’ experience; HS Diploma may substitute for AA degree.
  • Experience:

    Three years of office experience, multi-line phones; experience with HR and safety committees preferred.
Physical Requirements

This position typically requires standing, walking, bending, lifting, or other medium physical exertion, with regular talking and hearing and adequate vision. These requirements may be up to 90% of the time.
