Are you looking for a dynamic environment where your initiative and drive will be recognized and rewarded? Our engineering and construction management firm, a trusted partner for federal clients nationwide, is seeking a high-energy Proposal Coordinator to support our proposal team in delivering top-tier, compliant, and compelling proposals for federal projects.
This role offers significant opportunities for growth for someone who thrives in a fast-paced environment and is eager to take on increasing responsibility. If you are organized, detail-oriented, and take pride in seeing projects through from kickoff to completion, we want to hear from you.
Key Responsibilities:
- Work closely with the Proposal Manager to coordinate all phases of the federal proposal process, including kickoff meetings, scheduling, content development, and final delivery
- Analyze Requests for Proposals (RFPs), Requests for Information (RFIs), and other solicitation documents to develop clear compliance matrices and response strategies
- Manage proposal schedules, deadlines, and deliverables, ensuring all team members are aligned and on track
- Assemble content from subject matter experts, technical staff, and teaming partners, ensuring consistency, accuracy, and compliance
- Edit and format proposal documents for clarity, cohesiveness, and impact
- Ensure all submission requirements are met, including forms, certifications, and supporting documentation
- Maintain proposal files, trackers, templates, and reference materials
- Support interview and oral presentation preparation, including logistics and coordination with internal and external partners
- Drive continuous improvement in proposal processes and outcomes through proactive feedback and follow-up
- Minimum of 5 years of experience in proposal coordination or management with a focus on federal government projects (AEC sector strongly preferred)
- Deep understanding of the federal procurement process and associated regulations (FAR familiarity required)
- Demonstrated ability to learn new systems, processes, and requirements quickly
- Independent, proactive, and resourceful-able to anticipate needs, solve problems, and take initiative without direction
- Exceptional organizational and time-management skills; capable of managing multiple deadlines simultaneously
- Outstanding written and verbal communication skills
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat; experience with SharePoint or proposal management software is a plus
- Bachelor's degree preferred; equivalent experience will be considered
- High visibility within a well-established, growing firm supporting diverse federal projects
- Work alongside a collaborative, motivated team that values new ideas, dedication, and results
- Clear and rapid path for career advancement into proposal management, marketing, or leadership roles
- Competitive compensation and comprehensive benefits
- Flexible/hybrid work options available
