Position: Accounting Technician 3 - Payroll & AR

Summary:
This position is responsible for various accounting support functions at the Alaska Sea Life Center.

Education/Training Requirements:
A vocational certificate or Associate’s degree in a related field with a minimum of six years’ experience in a similar position, a Bachelor’s degree in a related field with a minimum of four years’ experience in a similar position, or the equivalent is required. Accounting knowledge and payroll experience are required. Microsoft Excel skills and maintaining confidentiality is required. Must possess advanced skills in time management, organization, prioritization, customer service, attention to detail, and oral and written communication.

Must have the ability to present information to non-financial groups, work with diverse individuals, work independently, and interact effectively with staff, senior management, and outside organizations.

Essential Duties:
1. Processes bi-weekly payroll and maintains payroll filing system. Performs updates for all changes to payroll, leave accrual and payroll deductions and maintains related documentation.
2. Prepares payroll tax documents such as W-2s & W-3 annually and 941s quarterly.
3. Prepares quarterly workers compensation and unemployment reporting and assists in preparing documentation for the annual workers compensation audit.
4. Processes ACH payments for payroll and non-payroll purposes.
5. Processes all cash, check, and credit card revenues and maintains cash on hand.
6. Reconciles accounts receivable (A/R) general ledger accounts on a monthly basis.
7. Responsibility for the daily entry of Gate Revenue and ALTRU entries into the Accounting System.
8. Maintains and improves A/R filing systems and associated spreadsheets. Produces monthly A/R invoices and statements. Serves as a contact person for A/R clients and their account activity. Contacts A/R clients to resolve delinquent payments.
9. Performs weekly drawdown of federal grant funds from ASAP.
10. Prepares documents for the annual financial statement and A-133 federal audits.
11. Monitors compliance with established accounting policies and procedures. Assists in editing and updating policies and procedure documents.
12. Assists with general administrative items related to A/R, payroll, and finance functions. Provides assistance to the Accounting Manager, as required.
13. Updates all Timesheets and Payroll Date documents for publication.
14. Recommends process and transactional improvements for payroll and A/R functions.
15. Cross-trains and supports vacationing accounting staff when needed.
16. Fosters good relations with visitors, volunteers, community leaders, contractors, vendors, clients, and fellow staff members by promoting positive attitudes, goodwill, cooperation, and providing high standards of service.
17. Complies with all Alaska Sea Life Center policies, procedures, and programs.
18. Performs other related duties as assigned.

Skills and Abilities

:

Skill in written and verbal communication, experience giving public presentations and/or working with various age groups in an educational setting, ability to understand and interpret research in progress and marine science topics, follow instructions, and work independently. Experience with Word, Excel, PowerPoint, and Access.
